This position is responsible for providing administrative support to University Professor of Faith and Culture, Gudorf Chair in Catholic Intellectual Traditions, Gudorf Chair in Catholic Theology and Culture, Fr. William J. Ferree Chair of Social Justice, and Mary Ann Spearin Chair of Catholic Theology (hereafter referred to as “Chairs”). Provides personal, e-mail, and telephone reception to a wide constituency. Monitors each of the Chairs’ budgets; arranges all logistics for each of the Chairs’ conferences, meetings and other events; uses online e-procurement system to initiate purchase orders, payment requests and employee reimbursements; supports travel and submits travel/expense forms, and other confidential materials; ensures office work for each of the Chairs operate efficiently and smoothly.

Minimum Qualifications: |
High School diploma or equivalent. Three years of full-time administrative support experience in a professional office setting. Willingness to engage with Catholic and Marianist educational values. Effective written communication skills. Ability to draft documents independently and proofread documents for errors. Successful professional experience with making travel reservations and hospitality/catering reservations. Successful professional experience with Microsoft Office software (especially Excel and Word) as used for preparing forms and maintaining correspondence, University reports, and tracking special projects. Professional experience planning and coordinating events, such as conferences and workshops. Ability to work independently with little to no supervision. Experience managing and reconciling budgets and spending.

Associate’s Degree. Demonstrated ability to engage effectively, respectfully, and professionally with multiple constituents at multiple levels in an organization. Experience working in a Catholic and/or Marianist organization. Demonstrated ability to work as a cooperative member of a professional office. Experience with G-Mail, Google Drive and Box. Experience using graphic design software such as Canva. Experience with an electronic procurement system for purchase orders and payment requests. Demonstrated successful experience in maintaining up-to-date content for a website and social media platforms. Demonstrated resourcefulness in solving work-related problems. Demonstrated ability to manage time effectively. Demonstrated experience protecting and maintaining confidentiality of information. Demonstrated ability to plan and organize work in observance of deadlines. Demonstrated ability to plan and organize multiple initiatives simultaneously. Demonstrated experience learning and adapting to new information and systems. Effective interpersonal skills. Experience managing social media networking and marketing. Experience working in a college or university academic office.
