Position Summary:

Under the supervision of the Assistant Director of Housing Operations and Conference Services in Housing & Residence Life, the Administrative Assistant for Conference Services is responsible for assisting in the management of Conference Services.

Responsibilities of the Administrative Assistant for Conference Services position include handling general correspondence over the phone and in writing to include processing and responding to reservation requests, Requests for Proposals (RFPs), and general inquiries.
This position oversees the reservation and billing of the University Guest Houses and CARE Housing. Assist in professional and student staff hiring process and onboarding.
Additional responsibilities include following up on logistical details as part of partner agreements/contracts and maintaining the Conference Services database. The Administrative Assistant for Conference Services will occasionally attend partner and customer meetings.

A successful candidate for this position must be able to demonstrate strong attention to detail, sound judgment, work independently and be able to communicate and collaborate effectively with various constituents across the University. The candidate must have a pleasant and welcoming demeanor.

The Administrative Assistant for Conference Services works twelve months a year, or 1820 hours annually. The work shift begins at 8:30 a.m. and ends at 4:30 pm with a one-hour unpaid lunch, Monday through Friday each week. On occasion, the Administrative Assistant for Conference Services will be asked to work evening or weekend hours during busy periods. At certain times during the academic year, work on some University holidays and breaks may be required.

Minimum Qualifications:

High School Diploma or equivalent.
Minimum 3 years of administrative support experience.
Ability to pass a background check and fingerprinting for work with minors.
Possession of strong written skills (professional language and tone).
Proven success at maintaining a high degree of accuracy and attention to detail in writing.
Demonstrated experience working with sensitive or confidential information.
Demonstrated ability to cultivate positive interpersonal relationships at work.
Demonstrated experience working in fast-paced environments while handling multiple tasks and maintaining a high level of performance.
Demonstrated ability to work on a team and to work independently.
Demonstrated proficiency in Microsoft Office applications and other specialized office software.
Demonstrated commitment to inclusion and diversity and demonstrated ability to work with an increasingly diverse campus community.
Demonstrated commitment to customer service.

Preferred Qualifications:

Previous experience working at the University of Dayton and/or on a college/university campus.
Bachelor’s degree in College Student Personnel, Higher Education, Business, or related field.
Experience in supporting marketing or sales in a higher education setting (ie. Admissions, Alumni Relations, or similar).
Demonstrated knowledge of ACCED-I, ACUHO-I and CAS standards for conference operations.
Previous experience using Google Suite.
Demonstrated ability to apply knowledge of Catholic Higher Education to job responsibilities.
Demonstrated experience working with StarRez Conference Module.
Demonstrated professional development received in the use of Microsoft word, excel, and powerpoint.
Possession of strong organizational skills.
Possession of strong interpersonal skills.
Must be able to demonstrate strong typing skills (accuracy).
