Department Summary

The Housing and Residential Education staff at the University of Denver provides housing and support services for 2800+ students living within University housing. Position Summary

Under the supervision of the Assistant Director of Residential Operations, the Manager of Facilities Operations is a member of the Housing and Residential Education team. The Manager of Facilities Operations is primarily responsible for managing day-to-day operational processes, including overseeing Fraternity and Sorority Life properties and staff, Front Desk Operations, managing select operational processes, and general facilities management support. This position will assist in developing and managing housing and occupancy management systems (StarRez, C-Cure, Persona, etc.) and corresponding processes, including but not limited to room change, contract breakage, reporting, housing extensions, meal plan administration, and damage billing. Additionally, this position performs various administrative and operational functions, including, but not limited to, supporting opening and closing procedures, damage billing coordination, front desk operations, assisting with facilities management, coordinating off-campus services and events, and managing fraternity and sorority DU-managed houses.

The Manager of Facilities Operations is responsible for the direct supervision, training, and evaluation of three (3) Fraternity & Sorority Life House Property Managers and two (2) Residence Services Coordinators.  The Manager of Facilities Operations supports furthering the mission of the University of Denver, the strategic initiatives of the Division of Student Affairs and Inclusive Excellence, and the mission, vision, and core values of Housing and Residential Education.

This is a 12 month, live-on position.

Essential Functions

Residential Operations & Facilities Management

  • Coordinate the day-to-day execution of operations for facilities in residential buildings, including work order review, building maintenance, facility issues, preventative maintenance, emergency maintenance, and coordination of select vendors , and serve as the liaison to Facilities Management & Custodial Services along with the Director
  • Coordinate the project management and implementation of operational processes, including logistical assistance with opening/closing coordination, coordination of transitional periods, management of the early arrival program, break, damage billing and summer housing
  • Assist with off-campus services and coordinate efforts & events to provide resources and oversee an online housing website, Off-Campus Partners with the Coordinator of Facilities Operations
  • Oversight and management of all residence hall front desk operations by supervising two (2) full-time Residence Service Coordinators and mail services
  • Coordinate the damage billing process and administer it through StarRez housing software with the support of the Resident Director staff
  • Serve as contact with select vendors; coordinates and assists the Director with procurement for Residential Operations
  • Serve as the liaison between Housing and Residential Education and appropriate University offices, including but not limited to Facilities Management and Custodial Services, Information Technology, Fraternity & Sorority Life, Campus Safety, Denver Dining, and Athletics

Occupancy

  • Assists in maintaining and administering housing processes, such as early arrival program, room change, check-in/check-out, extensions, room inventory, roommate agreements, contract release and exemption processes, move-in appointments, and vacancies
  • Assists in the administration of student account billing, including damage billing
  • Provides supplemental meal plan and meal plan cash administration support each quarter
  • Assists in developing reporting and comprehensive data generation and analysis management, including meal plan reconciliation, and data requests in collaboration with the Assistant Director of Residential Operations

Front Desk Operations

  • Manage front desk operations, including mail services, supervising staff & managing coverage, assisting with coordinating/providing student access
  • Manage key inventory, card access, key storage system, and outside door access
  • Lead summer transitions coordination in collaboration with our partner, Conference and Event Services
  • Serve as liaison to the Department of Campus Safety, Card ID Office, Conference and Event Services, and Information Technology
  • Maintain housing processes and assignments for three to four (3-4) Fraternity & Sorority Life (FSL) Houses
  • Responsible for the recruitment, selection, training, and supervision of assigned FSL Property Managers
  • Responsible for assisting in the development and enforcement of facilities and occupancy procedures for FSL housing in conjunction with the Director
  • Serve as the primary contact and liaison with Real Estate, FSL staff, and house corporation boards
  • Coordinating FSL house facilities checks

Fraternity & Sorority Life (FSL)

  • Maintain housing processes and assignments for four (4) Fraternity & Sorority Life (FSL) Houses
  • Responsible for the recruitment, selection, training, and supervision of assigned FSL Property Managers
  • Responsible for assisting in the development and enforcement of facilities and occupancy procedures for FSL housing in conjunction with the Director
  • Serve as the primary contact and liaison with FSL staff and house corporation boards
  • Coordinating FSL house facilities checks

Staff Training, Supervision, and Development

  • Supervise, train, and evaluate three to four (3-4) Fraternity & Sorority Life House Managers and two (2) Residence Service Coordinators.
  • Create a supportive environment that promotes the professional and personal development of each staff member

Duty Responsibilities

  • Serve as Senior Administrator On-Call (SAOC) for evening and 24-hour weekend/holiday duty rotation while being within the duty perimeter. HRE on-call mobile phone is provided
  • Follow on-call procedures, respond to emergency/crisis calls, and assist in crisis management
  • Keep the Senior Administrator On-Call (SAOC) informed of emergencies or serious disruptions that may require intervention or follow-up
  • Notify appropriate staff members regarding situations that impact the residence halls and/or students in the residence halls
  • Complete reports in the student behavioral database system

Departmental Duties

  • Attend and participate in HRE, Divisional, and University meetings and task forces
  • Attend regularly scheduled one-on-one supervisory meetings with the supervisor
  • Assist in the departmental training of student staff members
  • Serve on departmental committees and work groups as needed
  • Develop working relationships with key campus partners, including but not limited to: the Department of Campus Safety, Athletics, Fraternity and Sorority Life, Conference & Events Services, Sodexo & Denver Dining, and other University-related services
  • Attend events and programs sponsored by HRE and/or the Division of SAIE, including those that periodically occur on weekends and evenings

Other duties as assigned

Knowledge, Skills, and Abilities

  • Familiarity and proficiency with housing software systems, such as, StarRez. 
  • Attention to detail, with a highly organized approach to data/project management. 
  • Understanding regarding Housing operations, processes, front desk operations. 
  • Ability to analyze and interpret data, processes and needs based on limited information and to research solutions. 
  • Strong written and verbal communication skills. 
  • Knowledge of relevant federal and state laws. 
  • Excellent collaboration and interpersonal skills, along with the ability to work with a diverse population of administrators, faculty, staff, students, and external constituents. 
  • Knowledge of legal issues and risk management practices. 

Required Qualifications

  • Bachelor’s Degree, with two- three (2-3) years’ experience in operations and/or housing & residential life 
  • Demonstrated record of supporting teams and collaborative partnerships with colleagues and key stakeholder groups 
  • Solid housing operational and leadership experience 
  • Evening office hours and occasional weekend commitments are expected 

Preferred Qualifications

  • Master’s degree in Higher Education, College Personnel, Business Administration, or a related field 
  • Three or more (3+) years of post-bachelor work experience within residence life and housing 
  • One to three (1-3) years of supervisory experience 

Working Environment

  • Standard office environment.
  • Unexpected interruptions occur often and stress level is moderate to high.
  • Noise level is quiet to moderate.

Physical Activities

  • Ability to work in front of a computer for an extended period of time.
  • Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule

This position requires employees to work onsite 8:00am-4:30pm with some weekends, evenings, and holidays. (Schedules vary by department and position.)

Salary Grade Number

The salary grade for the position is 8.

Salary Range

The salary range for this position is $56,500 - $58,100.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate’s sex or any other protected status.
