About Administration & Corporate Records and Information Services
The Administration & Corporate Records and Information Services is the specialist team that provides essential physical, administrative and knowledge services to create a safe and well-governed, efficient and effective workplace for EDB officers to achieve EDB's organizational goals.
You will be primarily involved in:
Administration Management to deliver administrative services to the assigned portfolios and to support the organisation's operations
Contract and Supplier Management for the delivering and performance of goods and services
Your Key Roles and Responsibilities includes:
Administration Management
Perform basic office administration duties (e.g. data entry and update, calendaring for meetings/events, document management such as filing and retrieval of documents and records)
Monitor and manage efficiently inventory stock for office supplies and equipment
Liaise with internal and external stakeholders to support office administration for the portfolios assigned (e.g. Name Card, Courier Service, Mailroom Operation, Gift Declaration, Travel and Asset Management etc)
Administer and manage the administration systems and databases for the portfolios assigned
Implement appropriate procedures and systems to ensure compliance, accuracy and timeliness of actions for the portfolios assigned
Contract and Supplier Management
Procurement of goods and services for the smooth operation of office administration services
Monitor the contract and supplier to ensure receipt of goods/services and to track contract performance
Coordinate with service providers to promptly address issues and feedback
The successful candidate should have/be:
At least 3 years of experience in supporting corporate or office administration functions and experience working in the government sector will be an advantage
Proficient in MS office software such as Word, Excel, Outlook and Powerpoint
Good oral/written communication skills, attention to detail, high initiative and willing to take on new challenges
Good stakeholder management, able to work independently and in team
Excellent organisational and time management skills, able to multi-task and prioritise daily workload
