About The Role

As a clerk within our medical records department, your role involves supporting the organised and efficient functioning of Health Information Services.

Reporting to the Health Information Manager, your duties include but are not limited to:

  • Compiling medical records of discharged patients into a standard order and preparation of clinical notes to be sent off-site for scanning into the Digital Medical Record (DMR);
  • Use of IIS software to digitally index, verify patient details and electronically add pathology, radiology and other clinical notes directly into the DMR;
  • Correct and maintain notes in DMR including using Maintenance Functions to name “unknown” documents and correct other issues;
  • Run QuickSight reports to identify errors for corrections and assist with auditing quality of DMR records;
  • Addressing and resolving queries from both internal and external Health Professionals;
  • Following up outstanding records not returned from wards for DMR prepping;
  • Assisting as needed with Medico Legal requests within specified deadlines;
  • Answering telephone and email enquiries to Health Information Services;
  • Ordering offsite records via online portals;
  • Retrieving on-site medical records for forthcoming admissions and record requests;
  • Utilising online patient administration and other portal systems.

 

Your Qualifications and Attributes:

  • Enthusiasm for patient care and a commitment to delivering customer-focused services at a high standard.
  • Administration experience preferably in a healthcare environment.
  • Exceptional communication and people skills, fostering positive relationships with colleagues, patients and families.
  • Capability to manage demanding situations and meet strict deadlines.
  • Demonstrated respect for privacy and confidentiality.
  • Proven initiative-taking when required.
  • Solid computer skills and literacy including Microsoft Outlook, Word and Excel with ability to learn new hospital and vendor portal systems.
  • Excellent telephone skills.
  • Previous experience in a medical records department or similar clerical role within a healthcare setting.
  • While prior experience in a private hospital setting is preferred, it is not essential.
