The Executive Assistant to the President provides executive support to the President. This position also provides support for the Vice President for Administrative Services, and other members of the Executive Staff as designated by the President.

The Executive Assistant is responsible for management of the Office of the President, including coordinating multiple functions, developing appropriate processes and procedures, and managing the operating budgets of the President's Office. In addition, the Executive Assistant serves as liaison for the President on inquiries from faculty, staff, students, members of the community, as well as representatives of state agencies. They work closely with colleagues to create an atmosphere of trust and respect in which all can succeed.

This position must exercise initiative, judgment, discretion, and a high level of professionalism, while handling confidential and sensitive materials. The Executive Assistant must also demonstrate a strong commitment to the value of diversity among students and staff, as well as sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds of PPSC students, faculty, and staff.

Reports to: College President

Minimum Qualifications

  • Completed Bachelor's degree from a regionally accredited institution.
  • Two years of professional level experience assisting senior level staff.
  • Demonstrated experience managing office and budget processes.
  • Demonstrated high level of writing proficiency.
  • Supervisory experience.
  • Two years of successful experience using word processing, database, and spreadsheet software.
  • Demonstrated understanding of the college mission.

Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.  Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

Preferred Qualifications

  • Demonstrated administrative experience at the Presidential or comparable senior executive level.
  • Knowledge of large organization processes and procedures.
  • Demonstrated progressive leadership ability and successful record of innovation.
  • Ability to read, write and speak fluent Spanish.

Essential Functions  

Executive Liaison

As the initial point of contact for the President, this position provides a high level of customer service for internal and external constituents. 

  • Possess a deep knowledge of college resources and processes.
  • Exercise initiative, judgment, resourcefulness and independence to facilitate expeditious problem resolution or provide technical advice.
  • Ensure inquiries receive appropriate follow up.
  • Exercise judgement to alert President and Executive Staff of emergent issues to inquiries.

Executive Support

Provide executive support to the President, Vice President of Administrative Services and Executive Leadership Suite staff to include:

  • Building positive relationships to represent the President/Executive Team with internal and external constituents.
  • Representing the President through professional communication with internal and external audiences (in-person, email, formal letters and phone calls).
  • Prioritizing and balancing competing demands/requests.
  • Managing the President’s calendar/screening and scheduling appointments.
  • Arranging travel plans for the President and other members of the Executive Team.
  • Organizing, attending and capturing notes during Executive Team/executive-level meetings.
  • Managing and maintaining digital repositories for the President and Executive staff.
  • Developing, evaluating, and updating critical office operations.
  • Working collaboratively with other administrative staff to ensure the front desk is always attended.
  • Preparing meeting materials and coordinating with appropriate offices.
  • Managing and overseeing Executive Level memberships and subscriptions.
  • Drafting and producing reports for the President and Executive Staff.
  • Coordinating with appropriate offices to obtain data and information.

Budget Management

The Executive Assistant requires knowledge of college fiscal rules and procedures, purchasing guidelines, and state board policy. 

  • Reconciles budget and makes budget transfers.
  • Maintains fiscal and procedural records.
  • Sets up and works with approved vendors.
  • Meets fiscal and operational deadlines.
  • Maintains signature authority.
  • Reallocates funds for procurement card purchases.
  • Produces forms for official functions, travel requests, purchasing requisitions, purchase orders.

Events & Meeting Coordination

The Executive Assistant plays an active role in various college-wide and community events and meetings to include, but not limited to: Town Halls, Professional Development Week (fall and spring), Advisory Council Meetings, Leadership Council Meetings and Employee Appreciation Week. 

  • Ensuring proper college and state procedures are followed,
  • Coordinating/liaising with other college departments such as Facilities and Information Technology Services,
  • Reserve and select calendar dates/times.
  • Preparing and sending communications.
  • Arranging and preparing payment for catering.

Supervision

Hire and supervise student staff who work to support the Office of the President. This supervision includes establishing work hours, duties, standards of performance, evaluating performance and managing timesheets.

  • Demonstrated the ability to analyze and prepare budgets reports.
  • Ability to perform at a high level, and with a calm and positive demeanor, in a fast paced and stressful environment.
  • Additional duties as assigned by the President.
