The Office Services Specialist position is a primary point of contact for the Student Success Initiatives team. Responsibilities of the position include greeting visitors, answering the telephone, and distributing mail. This position maintains current knowledge of university policies as related to undergraduate students and provides appropriate and adequate responses with a high level of customer service to students, parents, and other internal and external customers seeking information and support in a high-volume setting. In addition to general administrative duties, provides support for special projects as needed for the Associate Vice Provost and additional units which include, the Academic Advising Initiatives (AAI), Student Success Center (SSC), Office of Veterans Services (OVS), Multicultural Academic Opportunities Program (MAOP), and University Studies and Scholar Support (USSS).
Previous administrative support experience in a professional or academic office setting. Strong computer skills such as word processing, with emphasis on efficiency, accuracy, and organization. Excellent customer service and communications skills and ability to work comfortably with a diverse population. Ability to work independently with little supervision, prioritize work, and perform multiple functions simultaneously. Must be able to work within a team-based environment. Ability to professionally handle stressful, complex situations in relation to parent and student needs. Must be able to maintain security and confidentiality of records and information.
Associates degree in related field, or equivalent training and/or related experience. Prior administrative experience working at Virginia Tech or in a higher education environment. Knowledge and familiarity with university policies and procedures. Experience with Banner, BDM/DMS, and other Virginia Tech applications or similar applications.
The successful candidate will be required to have a criminal conviction check as well as documentation of COVID-19 vaccination or receive approval from the university for a vaccination exemption due to a medical condition or sincerely held religious belief.
