Job Description

The Fleet Dispatcher & Service Agent is responsible for working with customers to ensure a courteous and accurate reservation process. They will report to the Operations Coordinator and be responsible for taking and receiving vehicle reservations, dispatching vehicles, consulting with customers on vehicle service needs, inspecting rentals daily upon return to assess any potential damages, and communicating with the shop supervisor for maintenance and repair needs to ensure long-term vehicle rentals are checked for preventative maintenance before their scheduled dispatch date.

The incumbent will work closely with customers while utilizing the FleetCommander program to initiate and finalize accident reports and claims made on Fleet Services’ vehicles. This will involve working closely with the Office of Risk Management and outside vendors for repairs as well, so communication and customer service skills are a key component to success. The Fleet Dispatcher & Service Agent will play a key role in working with university departments to coordinate vehicle reservations and dispatch permanently-assigned vehicles (PAs). Additional duties that are included in this position are as follows:
• Maintaining fuel inventories.
• Ordering and receiving fuel.
• Completing daily fuel logs.
• Processing work orders.
• Providing general administrative support, including the disposition of lost and found items.
• Preparing management reports.
• Working closely with the Administrative, Communications, and Billing Specialist on PA contracts.
• Backing up the Fleet Services team in the shop and wash bay as needed.
• Serving as an assistant Building Emergency Coordinator, when needed.
• Must have and maintain a valid driver's license and an acceptable and safe driving record.

This position is labelled as emergency personnel and may be required to work when the university is closed to meet the needs of the department.

Required Qualifications

• Considerable customer service experience.
• Previous experience assessing vehicle service/preventive maintenance needs.
• Working knowledge of office practices and procedures.
• Strong data entry skills.
• Account reconciliation experience.
• Demonstrated proficiency utilizing spreadsheet and word-processing software.
• Excellent interpersonal and communication skills.
• Ability to interact with a diverse group of people, meet deadlines, perform work with a high degree of accuracy and work independently.
• Strong organizational skills.
• Ability to interpret, and willingness to apply, policies and procedures.
• Must successfully complete a drug screening upon initial employment and be subject to random, reasonable suspicion, and post-accident drug and alcohol screenings per university policies.

Preferred Qualifications

• General knowledge of vehicle maintenance.
• Strong vehicle maintenance/mechanical diagnosis experience.
• Experience with a diverse customer base in a dynamic, fast-paced, and demanding environment.
• Experience and skilled in programs such as Microsoft Word, Excel, and Outlook.
• Experience using Banner or other relational databases.
• Class B Commercial Driver’s License (CDL) with passenger and air brake endorsement.
