Job Description

The Kevin T. Crofton Department of Aerospace and Ocean Engineering is seeking a self-motivated and team driven individual to serve as our Executive Assistant. This position frequently interacts with faculty, staff and students, and will be the first point of contact for the department. In this role, the Executive Assistant will serve in the important role of serving administrative duties directly for the AOE Department Head and complete various ad-hoc assignments. The position will also be responsible for effective calendar management, answering and forwarding incoming calls, completing department travel reimbursements, serving as Leave Representative, assisting department with surplus requests, processing mail and incoming/outgoing shipments, key distribution and other routine office duties. The Executive Assistant is responsible for independently managing key department projects such as the Promotion & Tenure process and organization of data from annual Faculty Activity Reports. It is essential to the job to possess the ability to work on multiple projects simultaneously with a strong work ethic, exceptional customer service orientation, and ability to excel in a team environment. The ideal candidate must be professional, organized, flexible, self-directed, have strong interpersonal skills, and be an effective communicator.

Required Qualifications

Experience providing administrative support and office management in a professional office or academic environment.| Proficient in general computer skills such as word processing, email and calendar management.| Experience such as drafting and editing correspondence, reports, and other documents in a professional and efficient manner.| Proficient with current office software such as Adobe, MS Outlook, Word, Excel, and PowerPoint.| Must be highly organized with the ability to manage multiple priorities and work independently in a fast paced environment.| Ability to work collaboratively in a team atmosphere, demonstrate discretion in working with confidential information and use sound judgment in decision making.| Professional communication skills and ability to interact effectively with all individuals in a diverse multicultural environment.| Strong proof reading skills and ability to prepare error free documentation and correspondence in a professional and timely manner.|

Preferred Qualifications

Knowledge of the University's accounting process; proficiency with Banner, HokieMart, Timeclock Plus, and Chrome River.| Certification in office administration.| Flexibility to work in a highly structured, fast paced organization with changing priorities.|
