The Receptionist/Administrative Assistant will be the face of the School of Communication. The highly visible position interacts in person, on the phone, and online with students, staff members, faculty members, and people from outside the university community. In addition, the Receptionist/Administrative Assistant supports school operations. The ideal candidate must be well organized, have strong interpersonal skills, and be an effective oral and written communicator. This position will report to the School Director. Responsibilities include:
*Staffing the main reception desk, greeting visitors, answering and routing telephone calls and general email messages, responding to basic inquiries, and accepting, signing for and distributing incoming mail and packages.
*Providing administrative support, including but not exclusive to data entry and recordkeeping, grade tracking and changes, and coordinating SPOT evaluations, for undergraduate programs, general office duties.
*Coordinating graduate-program applications and recordkeeping.
*Supporting basic school operations, such as file management, timeclock supervision, travel approvals and reimbursement submissions, special-event arrangements, student wage timesheet entry, scheduling events and room use, class material preparation and document duplication, and social media postings.
*Other duties as assigned.
Associate's degree or higher in office administration, business management, secretarial sciences, or related area, or equivalent education, training, or work experience. Experience doing reception or related work, providing administrative support in a business environment, and working in a high-volume, fast-paced, service-oriented office. Strong organizational, interpersonal and communication skills (both written and oral). Demonstrated ability to maintain confidentiality and use independent judgment. Experience using various MIcrosoft Office software products, such as Outlook, Word, Excel, and Power Point. Ability to work with other members of an administrative team.
Knowledge of BANNER. Experience working with faculty in a research or academic environment, working knowledge of higher education business practices; Knowledge of university policies and procedures; Experience with Virginia Tech's travel and expense management system.
The successful candidate will be required to have a criminal conviction check.
