Job Description

Administrative assistant to the Department Chair and office manager in the History Department. This position is serves as the human resource coordinator, responsible for all facets of payroll, including graduate student assistantships, and stipends; budget clarifications/monitoring; preparation of promotion and tenure dossiers; assist with faculty searches; serving as back-up to fiscal administrator; serve as NI&S liaison. Serve as office manager to ensure smooth running of the department and to ensure that policies and procedures are used and adhered to.

Required Qualifications

Previous administrative experience or managing an office. Demonstrated experience to delegate, track, and manage information. Proficiency with current office software applications including word processing, spreadsheets, electronic mail. Ability to delegate. Ability to communicate effectively orally and written; maintain confidentiality; analytical skills. Ability to use independent judgement; demonstrated ability to perform tasks with little supervision.

Preferred Qualifications

Bachelor’s degree related to business management. Experience providing administrative support in an academic environment with minimal supervision, discretion, professionalism, tact, and initiative. Knowledge of university policies and procedures. Experience working in an academic department; Exceptional analytical, interpersonal, organizational, and communication skills; Ability to maintain a friendly, yet professional and service-oriented demeanor in all interactions with faculty, students, staff, and a diverse clientele; Working knowledge of various university policies and procedures related to the management of an academic department; Demonstrated ability to exercise excellent judgment, professionalism, and discretion when working with confidential and sensitive information; Demonstrated flexibility to work in a department with changing priorities; Working knowledge of university software, PageUp, TimeClock, Microsoft Office software, Google Drive, HokieMart, ChromeRiver, MicroStrategy, Banner/HR/Student, Web reporting, Labor Redistribution.
