Job Summary:

This position requires working as a part of a team and supporting the House Supervisor, Nurse Executive Team, and other
administrative staff. Responsible for the day-to-day tasks and administrative duties of the office, including but not limited to, the
following: covering the staffing office; creating daily and monthly staffing report sheets; taking minutes for formal meetings; performing
clerical task and maintaining the flow of paperwork ; providing excel reports as requested and needed to support the CNO, ACNO and
hospital staffing needs; maintaining contract employees files and monitoring of those files for compliance with all competencies;
answering phone calls. Under the direction of the Nurse Manager and House Supervisor, the Staffing Office Staffer is responsible for
allocating in-house staffing of patient care providers via use of Core staff, Float Pool, and Nursing Registry Vendors.

Job Duties:

- Allocates additional staffing to departments based on department needs. Receives ongoing staffing need information from nursing management team. Communicates needs to Direct Supervisor, House Supervisor and Nurse Manager in order to obtain the staffing resources by utilizing available staff and Contract Labor.

- Utilizes financial information to select the most cost effective staffing resources available on a shift to shift basis

- Provides administrative support to the staffing office. Answers phones. Maintains leave log for employees on required administrative disciplinary leave. Documents call offs and designates appropriate category (sick, annual, FMLA, industrial) and tracks/reports as requested. Updates and maintain databases such as employees phone lists. Contracted agencies and contracted employees pertaining to staffing issues.

- Creates daily and monthly staffing report sheets, maintains contract employee files and monitors files for compliance with all competencies. Assist with pool employees scheduling, tracks work hours for compliance with pool guidelines.

- Inputs, maintains, and archives data in Acuity Based Staffing, Attendance on Demand, and Registry Staff Application such as employee schedules, daily staffing changes, time and attendance, mandatory education and other staff certifications.

- Participates in administrative projects and tasks as delegated by the Nurse Manager or designee which may include, but not limited to, data management, preparing spreadsheets, participating in quality improvement initiatives and special projects.

- Other duties as assigned as related to the position (typically 5% - 10%)

 

Knowledge, Skills & Abilities (KSAs):

Knowledge of:

-Excellent working knowledge of all Microsoft Office packages, with emphasis on use of various communication tools
-Performance Management (PM), and Continuous Quality Improvement (CQI) and Lean methodologies
-Understanding of basic human resources and hiring process
-Knowledge of sites and navigation of same for obtaining licensing and certification information for potential new hires

Skill in:

-Strong organizational, administrative and analytical skills
-Excellent spelling, proofreading and computer skills
-Excellent oral and written communication
-Excellent interpersonal skills to interact with professional and para-professional hospital staff
-Excellent computer skills including, Microsoft products, general office equipment

Selective Preference(s):

High School Diploma or GED, or similar credential is required and at least two years of administrative support experience. Preference will be given to candidates with administrative support experience in a hospital Staffing Office or correctional setting.

Pre-Employment Requirements:

- A State hospital employee must possess a valid level one fingerprint clearance card issued pursuant to A.R.S. 41-1758.07 or must apply for a level one clearance fingerprint clearance card within seven working days after beginning employment.

Retirement:

To help you build a financially secure future, the State makes monthly contributions to finance your retirement benefit.
