Virginia State Park's Business and Revenue Administrative Team is accepting applications for the Administrative Assistant position.
Job Summary:
This position will provide direct support to the Chief of Business Administration & Revenue across several general administrative operations. This will include assistance with financial reconciliation, procurement, document preparation & proofing, data management, record keeping, budget monitoring, and correspondence from office of the Chief of Business Administration & Revenue.
Key Duties and Responsibilities:
- Manages communications and correspondences from the Office of the Chief of Business, Administration, and Revenue.
- Provides direct support to the Chief through managing calendars, appointments, and meetings.
- Complete and process travel pre-approval and reimbursement forms related to Business, Administration, and Revenue travel.
- Coordinate team meetings including all arrangements, meals, and agendas. Provide record management services to organize all related meeting materials including recording, synthesizing, and disseminating notes.
- Provides direct project support by conducting research, report preparation, proofing, or other project support tasks as assigned.
- Provides monthly reconciliation services of multiple cost centers.
- Provides support for budget entry, coding, and reconciliation.
- Provides research support for internal process documentation related to administrative procedures.
- Requires infrequent travel within the state.

Minimum Qualifications
- Knowledge and proficiency using Microsoft 365 software including Word, Excel, Power Point, Teams, Outlook, & SharePoint.
- Experience that demonstrates excellent writing and communication skills.
- Experience that demonstrates excellent organizational skills.
- Experience with budgets related to expenses and revenues.
- Ability to work independently and anticipate needs.
Additional Considerations
- Experience with state accounting procedures and financial systems.
- Familiarity with State Parks or general recreational park operations.
- Experience with database administration.
- Experience demonstrating ability to work with sensitive information and maintaining confidentiality.
- Experience with state procurement system.
