As our Procurement Support Specialist, you’ll support museum operations and education programming by managing small purchases, coordinating vendor relationships, and maintaining procurement records with precision.

Job Duties

The Jamestown-Yorktown Foundation seeks a detail-oriented and proactive Procurement Support Specialist to manage small purchases, vendor coordination, and procurement processes for museum operations, education programming, and agency-wide needs. This role ensures full compliance with state and agency procurement manuals, facilitates travel arrangements for events and performers, and maintains accurate documentation within eVA and related systems. The specialist will lead surplus property activities, coordinate disposal through approved channels, and support SPCC audits and compliance. Additional responsibilities include managing procurement records, assisting with RFPs and IFBs, collaborating with education and operations staff, and maintaining vendor relationships with a strong focus on SWaM-certified businesses. The position also contributes to administrative process improvement and supports the agency’s mission through professional conduct, responsive communication, and cross-functional teamwork.

Minimum Qualifications

•Virginia Contracting Associate Certification (VCA) preferred.
•Experience in or knowledge of the electronic state purchasing program (eVA) or similar system.
•Experience working with outside vendors, contractors, and internal customers from other departments.
•Experience in or knowledge of state purchasing, requisitions, and small purchase charge card programs and policies
•Experience using the advanced functions within Word, Excel, and PowerPoint such as creating charts, graphs, pivot tables, and mail merge letters.
•Knowledge of recordkeeping requirements and retention schedules.
•Familiarity with basic accounts payable and financial transaction processes.
•Strong organizational and time-management skills to handle multiple assignments and changing priorities.
•Highly detail-oriented with exceptional organizational and communication skills, both verbal and written.
•Strong attention to detail and commitment to accuracy.
•Ability to work independently as well as part of a team.
•Ability to research policies and apply them appropriately to ensure compliance.
•Ability to recognize and escalate complex procurement issues for supervisory guidance.
•Ability to use eVA, GovDeals, SPCC portals, and other procurement/financial systems or learn new systems quickly.
•Ability to establish and maintain positive relationships with vendors, internal customers, and other stakeholders.
