Job Duties
The Office of the Executive Secretary (OES) of the Supreme Court of Virginia is seeking a qualified candidate to serve as an Office Services Coordinator within the Department of Judicial Services (DJS). This position plays a vital role in ensuring the efficient operation of the department through administrative coordination, scheduling, records management, project support, and departmental representation.
Position Summary:
The Office Services Coordinator supports the Director of Judicial Services and department by managing day-to-day operations, providing logistical and technical support for meetings and events, and assisting with departmental projects and documentation. This position also offers support to the department’s Assistant Director and Education Coordinator.
Key responsibilities include:
- Serving as the primary point of contact for DJS, answering and directing calls from the public, courts, other state agencies, and other departments within OES.
- General office management, including handling mail, accepting deliveries, ordering supplies, maintaining shared equipment, and ensuring an organized and well-maintained office environment
- Calendar management
- Scheduling, coordinating, and assisting with meeting/training/event logistics
- Coordinate and manage the publication of digital and printed materials: manuals, posters, training materials, and signage
- Maintaining departmental records and internal platforms
- Managing intranet/internet content and department presence
- Compiling and generating departmental reports
- Supporting special projects and events (e.g., workload studies, staffing models)
- Representing the department in meetings or conferences
Minimum Qualifications
- Technology Proficiency
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Teams), including the ability to create and edit documents, manage calendars, and develop spreadsheets and presentations.
- Experience with virtual collaboration tools and platforms (e.g., Webex or Microsoft Teams).
- Administrative and Operational Support
- Experience coordinating office operations, including inventory control, supply ordering, and records management.
- Knowledge of office equipment operation and maintenance (e.g., copiers, scanners, poster makers).
- Experience with calendar scheduling and coordinating logistics for meetings/events
- Communication and Interpersonal Skills
- Demonstrated ability to communicate effectively, both verbally and in writing, with internal and external stakeholders.
- Ability to work both independently and as part of a team in a fast-paced office environment.
- Organizational Skills
- Strong organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines.
- Attention to detail and accuracy in data entry, file maintenance, and written communication.
Additional Considerations
- Administrative and Operational Knowledge
- Experience with project coordination or supporting executive-level staff.
- Familiarity with state or government agency procedures and procurement processes.
- Knowledge of the structure and operations of the Virginia state court system.
- Technology and Digital Content Management
- Experience managing website or intranet content.
- Experience using Microsoft SharePoint for document management, collaboration, and workflow tracking.
