General Information:

The Virginia Department of Education Region 5 Training and Technical Assistance Center (T/TAC) is seeking a qualified and experienced administrative Office Specialist. We are looking for a dynamic candidate who is interested in a work environment that affords ongoing learning opportunities, collaboration with colleagues, and an opportunity for professional advancement.

 

Duties and Responsibilities:

-Screen and respond to calls and e-mails as the first point of contact for the Region 5 Training/Technical Assistance Center
-Interact with staff and consumers through oral and written communication; provide information to consumers using well-established office protocols
-Maintain directories and other office data
-Design regional newsletter; distribute newsletter and other information
-Maintain the T/TAC web site by updating content, keeping announcements and training page current, using html language, and continuing to stay current in Web manager methods and responsibilities
-Purchase office supplies and equipment
-Manage the T/TAC lending library's resources
-Provide conference and training event management services by communicating with on-site coordinators and Virginia Department of Education (VDOE) representatives to determine event requirements, and initiating and overseeing contract negotiations for events within budget allowances.
-Provide registration services for scheduled events by developing fliers and registration guides, coordinating on-site registration (some travel may be required), generating name tags and certificates of attendance, and working cooperatively with the Fiscal Technician to monitor payments and fiscal issues.

 

Qualifications:

-Working knowledge of effective and efficient office management practices and customer service practices
-Fluency in the Windows computer operating environment and Microsoft Office programs including Outlook, Excel, Word, and PowerPoint
-Ability to work independently, organize the work of self and others, meet deadlines, and work with a high degree of accuracy
-Previous administrative experience in an office setting and demonstration of proper office management practices and professionalism
-Experience with Canva, JotForm, and WordPress is beneficial but not required
