General Information:
James Madison University’s TRIO Programs support and empower first-generation, low-income, and other disadvantaged students through federally funded initiatives designed to promote college access and success. Programs such as Upward Bound and Talent Search provide academic preparation, advising, financial aid guidance, and postsecondary application support to increase secondary school completion and college enrollment and graduation. The office of First-Generation Student Success seeks a part-time fiscal and administrative support professional to provide essential financial, purchasing, and administrative assistance for two TRIO grants. This position requires a highly organized, detail-oriented individual with strong communication skills, the ability to manage confidential information, and the capacity to work collaboratively with program staff and campus partners while ensuring compliance with federal, state, and university guidelines.
• Hours are typically during normal business hours of 8am – 5pm
• Approximately 20 hours of work per week over the course of a calendar year
• On-campus position (not remote) in an office environment setting
Duties and Responsibilities:
- Provide fiscal and administrative support for two TRIO grants, including monitoring budgets, tracking expenditures, and monthly account reconciliations.
- Process purchasing, vendor payments, and reimbursements in accordance with JMU, state, and federal TRIO grant regulations.
- Departmental purchasing and travel: complete departmental purchasing and maintain related records. Coordinate and process travel authorizations, reservations, and reimbursements.
- Maintain complete and accurate financial and administrative records, ensuring proper documentation and compliance with grant and audit requirements.
- Assist TRIO leadership with reporting, data tracking, and routine administrative tasks, including scheduling and correspondence.
- Communicate effectively with campus partners (e.g., Finance, Sponsored Programs, Procurement) to support efficient grant and program operations.
- Perform other duties as assigned in support of unit goals and objectives.
Qualifications:
Required:
- Working knowledge of MS Office programs, including Excel, Outlook, and Word
- Familiarity with/or ability to learn PeopleSoft’s System Administration module
- Attention to detail and a high level of accuracy
- Strong verbal and written communication skills
- Strong interpersonal skills
- Ability to organize and prioritize multiple tasks
- Demonstrated ability to learn and follow policies and procedures
- Experience with bookkeeping, meeting auditing standards, budgeting

Employment is contingent upon the successful completion of a criminal background check.
This is a part-time wage position working up to an average of 29 hours per week over the course of a calendar year with no benefits.
