Programmed Facility Management are seeking an experienced and dynamic Soft Services Coordinator to join our Karratha Site Team. This is an excellent opportunity to be a part of an essential team that provides facility management and soft services, such as Catering and Cleaning to a well-known Oil & Gas Company situated in the Pilbara, WA.

Key Responsibilities
Reporting to the Manager Soft Services, the Soft Services Coordinator is responsible for ensuring administrative, operational and financial processes (budget control, invoicing and reporting) are completed in a timely and accurate manner. Additionally, this position will provide support to the Cleaning Supervisor and Head Chef, maximizing on-site employee utilization and skill diversification.
The incumbent is a key person in the Programmed Team and is involved in promoting positive staff morale and a safe work environment, ensuring adherence to quality systems and standards at all times. They will provide support and onsite relief to the Manager, Soft Services, supporting safe and successful delivery of operations and activities throughout the Client portfolio.

About You
To join our team, you will be an experienced and highly organized Soft Services Coordinator, with a “can do” attitude, a strength for providing first-class customer service and budget management, whilst managing a diverse workforce. Additionally, a commitment to the safety of yourself and others and ability to deliver quality service without compromise. Knowledge of Hygiene and Food Safety Standards (HACCP) is desirable, however not essential.
Duties include:
- Supports Catering and Cleaning service delivery across multiple Sites, ensuring optimal coverage and efficient use of resources.
- Supports the control the management of labour and material costs to ensure financial goals are met.
- Completing site mobilisation for New Starters, ensuring all Programmed personnel have the required gate access, induction and VOCs.
- Provides relief support with FIFO travel and accommodation through client mobilisation systems.
- Site office administration (timesheets, PPE and day to day running of the Site office).
- Undertaking general procurement activities (obtaining quotes, raising purchase requisitions and goods receipting) in accordance with the business policies and procedures
- Collaborates with PFM Maintenance teams to deliver quality service outcomes
- Actively promotes positive staff morale and safe work environment
You will possess:
- Experience in facilities management, soft service related industries (Cleaning & Catering)
- A proven track record in operational and / or service management environment
- High level of customer service skills and ensuring customer satisfaction is delivered to the client
- An excellent communicator with good written and verbal skills
- Advanced computer literacy with MS Office and window-based applications
- Organisational and time management skills, that can adapt to tight deadlines and competing priorities
- High literation, with well-developed communication and interpersonal skills
In addition to the above, you will need:
- VALID C Class License
- Australian Working Rights
- Ability to pass comprehensive (Client) Pre-Employment Medical including Instant Drug and Alcohol Screening
- Current satisfactory National Police Check (within 6 months)
- Previous experience at in similar environments (desirable)
- Experience / qualifications with First Aid, Building Management & HSE Systems (desirable)
