About the Opportunity

Programmed is seeking a detail-oriented Administration Assistant to join our small close-knit team, supporting our open Space, painting, building projects and corporate imaging business units.

This permanent, full-time position based in Wellington plays a crucial role in providing essential support to our Property Services team through accurate data entry, efficient administrative assistance, and the timely raising of purchase orders across our contracts

Through exceptional administration and coordination support, your key responsibilities will be:

  • Regularly review and action incoming emails to ensure timely responses and appropriate follow-up, maintaining clear communication across stakeholders.
  • Enter and update contract-related data into internal systems with a high level of accuracy to support effective reporting and decision-making.
  • Generate and manage purchase orders across multiple contracts, ensuring compliance with procurement processes and timely processing of supplier transactions.
  • Assist with the preparation, review, and reconciliation of invoices for various contracts, ensuring accuracy and alignment
  • Contribute to the smooth operation of the business by performing a range of administrative tasks, including document preparation, filing, scheduling, and assisting other teams as needed.

 

About you 

To excel in this position, you should have previous administrative experience with superb attention to detail, intermediate to advanced skills with Excel and the capacity to thrive in a fast-paced environment. Additionally, you will also possess: 

  • Previous experience in an administration role 
  • High-level organisation and time management skills 
  • Excellent customer service skills 
  • Strong written and verbal communication 
  • Intermediate MS Office, specifically Excel skills
