About the role-  

We have an exciting new opportunity for an agile and experienced Executive Administrator to join our organisation. Supporting our GM Bulk East, Head of Commercial & IP and Head of Finished Vehicles & Logistics, you are the gatekeeper- managing inboxes, diary, forward planning schedules and travel you will be immersed in our Bulk & Containerised Freight business unit, supporting our high-performing senior leaders.  

This role plays a vital part in keeping things running smoothly behind the scenes, helping our leaders stay focused and effective. You'll be the trusted right-hand to these senior leaders—ensuring they’re prepared, informed, and operating at peak efficiency 

Responsibilities include- 

 

  • Anticipate the needs of the General Manager / Heads Of, in planning and undertaking tasks and office management activities including organising meeting agendas, and where required, note taking and distributing actions.   
  • Provide confidential and timely administrative assistance to the General Manager / Heads Of, which may include reporting, spreadsheets and presentation preparation and distribution. 
  • Liaise with external Customers, as required, to ensure the efficient operation of the leadership team. 
  • Diary management which may include coordinating and allocating appointments, arranging conferences and meetings, travel and accommodation arrangements, screen visitors and telephone enquiries to allow the Senior Leaders to effectively carry out their role. 
  • Proactively advise the General Manager / Heads Of, of issues requiring their personal attention and take follow up action to ensure the successful completion of tasks 
  • At times, travel may be required to support your leaders at various meetings/ town halls/ road shows. 

 

About you-  

As an experienced Executive Administrator (minimum 5-years) within a large-scale corporate environment, you have a strong ability to prioritise your workload, work flexibly and be agile in your approach to requests. You will be professional in your approach and be an extension and reflection of the General Manager/ Heads Of, you support.  

 

Additional requirements include: 

  • High level of organisational and time management skills with a strong capacity to work under pressure, multi-task and manage matters of a confidential and sensitive nature within tight deadlines. 
  • Advanced utilisation of software programs including MS Office suite, Copilot and PowerBi 
  • High level of written, oral and interpersonal communication, influencing and negotiation skills. 
  • Is proactive and patient with stakeholders and demonstrates high ethical standards, integrity and commitment to all business and commercial dealings.
