The Opportunity
We are seeking an experienced and proactive Senior Clinical Site Administrative Officer to provide high-level administrative coordination and operational support for the School of Translational Medicine (STM) Medical Student Program.
This role plays a key part in supporting the delivery of undergraduate medical education within a complex clinical environment. Working closely with the Director of Medical Student Education, academic staff and professional colleagues, you will provide sound advice, manage a range of interconnected administrative processes, and ensure services are delivered efficiently, consistently and in line with University standards.
This is a hands-on role suited to someone who enjoys operating at the centre of activity, balancing competing priorities, and supporting academics and students through high-quality service and strong judgement.
Key Responsibilities

Plan, coordinate and deliver a range of complex administrative services supporting the STM Medical Student Program

Manage scheduling, project coordination, committee support, reporting and resource allocation activities

Provide high-level customer service to academics, professional staff and students, resolving issues promptly and professionally

Ensure compliance with privacy, confidentiality and governance requirements

Contribute to policy development, governance processes, quality assurance and continuous improvement initiatives

Manage data input, analysis, storage and reporting to support operational and strategic requirements

Build and maintain effective working relationships across STM, the Faculty and clinical partners

Provide specialist administrative advice and support to stakeholders across the program
About You
You are a confident and capable senior administrator who brings strong organisational skills, sound judgement and a commitment to service excellence. You are comfortable working independently, while also collaborating closely with a diverse range of stakeholders in a clinical education environment.
You will bring:

A relevant degree with subsequent experience, or extensive experience in a senior administrative role, or an equivalent combination

Demonstrated ability to manage complex administrative processes and operational workflows

Excellent organisational and time-management skills, with the ability to prioritise competing demands

Strong customer service orientation and a practical, solutions-focused approach

Well-developed analytical and problem-solving skills

High-level written and verbal communication skills

Strong computer literacy, including experience with Microsoft Office and business systems
