The Position

Provides essential coordination and operational support to the Acquisitions Management team. This role focuses on enhancing team systems, processes and administrative workflows to ensure the smooth execution of acquisition strategies.

Success in this role requires collaboration with internal teams—including acquisition specialists, program management, corporate affairs, field finance, private funding, child sponsorship and other sector technical specialists—as well as other World Vision offices and external partners.

Your areas of responsibility:

  • Support project planning, tracking and reporting for acquisition initiatives, including fortnightly pipeline updates and quarterly impact updates
  • Work with the Acquisition Coordinator & Liaison to develop, maintain and improve internal systems and documentation to support team efficiency, including WVA’s Acquisitions Management Team templates, tools, policies, guidelines and resource repository
  • Support the Acquisitions Management Lead Team in organising and facilitating periodic staff training with relevant subject matter experts on key topics such as World Vision programming approaches, compliance and safeguarding, monitoring and evaluation, managing risk etc.
  • Collaborate with cross-functional teams (e.g., Private Funding, Program Management, Corporate Affairs) to ensure alignment and timely delivery of acquisition activities
  • Support onboarding and training of new team members on Acquisitions systems and processes
  • Provide project coordination support for key strategic acquisitions opportunities, including developing and maintaining detailed project plans and schedules; facilitating regular communication with stakeholders; and identifying risks to project timelines and outcomes
  • Provide administrative support for the Acquisitions Management Team including scheduling, documentation, secretariat duties and stakeholder communications

Who we are looking for…

You will have strong project management, business operations and administrative capabilities, with a focus on continuous improvement, proactive communication and stakeholder collaboration.

You will also have:

  • 3+ years’ experience in project management and/or coordination, business operations, or administrative support roles
  • Strong organisational and time management skills with the ability to manage multiple priorities
  • Experience improving or implementing systems and processes (e.g., CRM, project management tools, knowledge repositories
  • Strong relationship management and ability to work cross functionally, balancing the needs of multiple stakeholders
  • Strong experience in presenting both verbally, written and digital (data visualisation desirable)
  • Ability to work independently and as part of a multi-disciplinary team
  • Degree or equivalent in a relevant discipline e.g. international development, international relations, strategy, business management or administration, marketing, research, or similar
