We are seeking an Executive Assistant to support 2 x Executive General Managers (EGMs) within our large, multi-site business. As a trusted and valued member of the leadership teams for our operational business units, you will have strong initiative, a proactive approach and forward planning skills, enabling you to be a step ahead to anticipate the needs of your Executives. With high levels of emotional intelligence and good judgement, you will have the ability to read the room and see the bigger picture when handling issues and problem solving, therefore enabling you to help your EGMs to be more effective in their roles. The core focus of this role is to provide executive support to both EGMs and their Leadership Teams by way of diary and travel management, event coordination and administration. Beyond these core duties, this role will enable an individual with an interest in and flair for communications, to play a key role in driving internal engagement and effective communications across regional teams. With this role, you will be expected to work a minimum of 4 days per week in the office.

Your day will involve:

  • Prepare internal and external correspondence and communications on behalf of the EGMs
  • Proactive email and diary management
  • Event management and coordination of key team events and engagement activities ie. Town halls
  • Prepare PowerPoint presentations packs and monthly reports as required by EGM and Leadership team
  • Support new employee on boarding and set up in systems including induction management
  • Expense processing and reconciliation management including processing invoices and purchasing orders
  • Travel reservations including flights, transfers and accommodation and preparing travel packs for executives
  • Coordination of employee reward and recognition program and client entertainment initiatives
  • Collaborate with EA cohort across Boral
  • Ad hoc projects to drive efficiencies and improve the business.

What are we looking for?

  • Proven track record supporting Executives
  • Strong interpersonal, influencing and communication skills (both written and verbal)
  • Strong organisational skills and the ability to prioritise competing deadlines and demands
  • Superior Microsoft Word, Excel and PowerPoint skills
  • Relevant qualifications in a Business, Executive Support or Secretarial discipline
  • Attention to detail, discretion, confidentiality and resilience.
