JOB SUMMARY:
This key leadership role is responsible for overseeing agency operations, while reporting directly to the Sr. Director to PMO/Ops and serving as a strategic partner for the VP of Popcorn Creative Group. The role will maximize team success by designing and operating simple, lightweight, and critical processes and programs across budgeting, staffing, execution, strategy, invoicing, planning, and employee engagement.
MAJOR RESPONSIBILITIES:
Agency Annual Planning & Administration Support
- Act as a primary liaison that will assist with prioritization and efficient management/positioning of Weekly Strategy and Creative Reviews and SCR LIFT. Work closely with Popcorn leadership as well as Executive admin to proactively address challenges
- Understand team engagement to generate new initiatives to further enable and empower the team.
- Build a template for Agency Onboarding (New Team Members), SOP’s, and revise/formulate Process maps for agency workflows
- Devise KPI’s to continuously measure agency performance (Meeting In-Market Trafficking SLA’s, Work Intake, On time delivery etc)
- Champion a cohesive team environment for executive staff by running staff meetings and leadership off-sites and aligning with operational leads in their domains.
- Serves as an operations liaison to help recruit, hire and on-board team members while also maintaining relationships with staffing vendors
Resource Management, Data Analysis & Reporting
- Monitor resource allocation and agency work assignments in real time using reporting tools (Power BI) and resource management software
- Leverage ‘What-If’ Analysis modeling and Scenario Planning to build out allocation models that ensure load balancing across creative development and production
- Collaborate with PMO leaders and build consensus on resource allocation adjustments while ensuring tight alignment
Workfront Administration/Configuration/Enhancement
- Collaborate with teams like project management, creative development, creative production and extended IMC teams to understand their needs and translate them into actionable Workfront configurations and solutions for the agency
- Lead, coach and act as Product Owner for scrum team that is responsible for day to day operations like creation and management of all work processes and settings in Work Management Tool(s) including, but not limited to request queues, project templates, custom forms and fields, layout templates, milestones, approvals, teams, groups, statuses, reports, dashboards, portfolio management, program management, and notifications (agency specific scope)
- Collaborate with Global Workfront Admin team (Brimworks) on work tool enhancements and configuration changes.
- Understands and actively participates in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
- Performs other duties as assigned.
EDUCATION:
- Bachelor’s degree in marketing, advertising, and prior experience in managing operations at a small to mid-size advertising agency.
EXPERIENCE:
- 9+ years in marketing and sales is required, with emphasis on strategic planning, operational integration, and business transformation initiatives, including process improvement and change management.
ADDITIONAL INFORMATION:
- A natural communicator, with an ability to deliver difficult or complex messages and a consistent history of effective communication at an executive level.

- Strong organizational skills with ability to build trust and collaborate across multiple disciplines.
