JOB SUMMARY:
Oversees the purchasing and budget tracking for Makeup and Prosthetics. This Individual will be responsible for sourcing and purchasing materials, vendor contracts and invoicing, purchase order entries and receipts, arranging and tracking goods shipments. Provide additional administrative and reporting support to Makeup and Prosthetics team as needed. Additionally, will be specifically focused on makeup, prosthetics, wigs and supplies necessary to execute the daily operations of these elements for the Costume Department for all shows, atmosphere, Lab, events/marquee, and internal partners that are using makeup/prosthetics/wigs in their offerings.
MAJOR RESPONSIBILITIES:
- Buying and Receiving: Administers the buying process following established procedures, budgets, and timetables. Responsible for placing orders via Purchase Order, Purchase Card, or other contract as determined by company policy and negotiated agreements with vendors. Arranges deliveries of all orders, follows best practices with regards to shipping by contacting NBCU Logistics as needed to secure the best rates. Maintain documentation on orders and receipts of all goods.
- Sourcing: Researches sources/vendors for both requested and standard use equipment, supplies and costume items. Provides alternative or substitutions when applicable and assists internal requests with select requirements. Identify cost saving opportunities when possible.
- Budgeting: Maintain Makeup and Prosthetics services and/or Marquee Event budget documents, tracking all spending accurately with purchase details. Appropriately code all Purchase Card, PO, and SNAP transactions every month. Partner with Asst Mgr and Cost Control group to insure budget compliance and approvals.
- Maintains documentation on all costume materials by character with price and total cost estimates. Partners with Inventory Lead to maintain SKU system of all materials.
- Understand and actively participate in Environmental, Health & Safety responsibilities by following established policy, procedures, training and team member involvement activities.
- Perform other duties as assigned.
EDUCATION:
- High school degree or GED is required.
- Business focused Associate’s degree (AA) or Bachelor’s degree from a four year college or university is preferred.
- Additional training with Microsoft Excel for budgeting and financial modeling a plus.
EXPERIENCE:
- 1-3 Years: Previous coordinator or lead experience.
- Must have previous work experience with Microsoft Excel budgeting and spreadsheet formulas without direct supervision.
- Strong administrative and budgeting skills.
- Or equivalent combination of education and experience.
