JOB SUMMARY
Responsible for all aspects of the office planning and administrative functions for the Universal Creative team. This includes the Team Member Change and Onboarding process, Facility Maintenance and Planning and Team Member relocations for both domestic and international Universal Creative projects and departments. Universal Creative has multiple work locations ranging from warehouses, single and multiplex trailer sites and large office buildings stretched all over the city of Orlando. These work locations are setup to support a complex project environment with constant change in occupancy and requiring persistent facilities management and maintenance. This Team Member is also in charge of documenting and maintaining SOP’s around Facilities Management and responsible for the overall operation and well-being of the UPR team members both onsite and off-property, insuring an efficient working atmosphere for the Universal Creative staff.
MAJOR RESPONSIBILITIES
- Responsible and accountable for managing the work locations for Universal Creative to ensure that they are safe, mechanically sound and are designed effectively for the Team Members residing in them. Maintains accurate details of new and existing facilities and structures for development and/or modification of space to ensure efficiency, equity and minimal financial impact.
- Oversee the Team Member Change and New Hire Onboarding Process for Universal Creative, implementing change as needed to maximize an efficient and friendly Onboarding and Change process. This includes the acquisition of information related to each New Team Member or Team Member affected by a change in his/her status, the entry of that information into various corporate systems and the follow-up on each request to ensure that the request is performed.
- Engage outside vendor contracts when needed to acquire furniture and fixtures related to Team Member workspaces. This includes procuring products or services via Contract or Purchase Order and managing the vendor to make sure their work is executed correctly and timely and within budget. Review architectural drawings developed to execute efficient master space planning to accommodate short and long term space needs.
- Serves as Project Manager for major renovations/modifications, as well as appropriate construction, to include budget planning, overseeing estimates, creating RFPs, reviewing bids, developing project schedules, contractor oversight, managing to budget and completion approvals.
- Oversees any Team Member relocation necessary for Universal Creative. This includes pre-planning with Department/Project Management, coordination of any outside vendors or internal staff needed for the move, execution of the event and follow-up after the event to identify any punch-list issues that are outstanding and oversight of maintenance issues that may arise after the moves have been conducted.
- Work with Immediate Supervisor to develop short, medium and long range space planning strategies to support the rapid growth of the Universal Creative team including the consolidation of all Universal Creative warehouses under a single location.
- Develops and executes departmental budget to include budget projections. Identifies and coordinate space and capital projects property wide for long and short-range projects. Develops short and long range capital planning strategy to support planned facility expansion, renovation, or improvements as well as furniture, fixtures and equipment needs and manages all approved capital projects to completion.
- Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
- Performs other duties as assigned.
ADDITIONAL INFORMATION
Knowledge of basic floor planning skills, the ability to read, interpret and modify architectural drawings, building maintenance and operation and office FF&E is required. Must have ability to translate business needs into technical requirements and be fully knowledgeable of current regulations pertaining to Facilities. High degree of tact is required and ability to partner with numerous departments across the business is critical. Good communications skills and ability to speak appropriately at all levels of the organization. Comfort and skill in communicating and influencing senior executive level to include the president.
EDUCATION
Bachelor's degree required, Master's degree preferred.
EXPERIENCE
10+ years of relevant job experience required, 5-7 years supervisory experience required; or equivalent combination of education and experience.
