Supports the coordination and execution of documentation and compliance processes for New Ventures projects. Partners with cross-functional teams including Universal Creative, EHS, Facilities, and other key divisions to ensure compliance and documentation requirements are integrated across the design, construction, build-out, and operational transition of new ventures. This role oversees administrative and document control functions critical to the successful delivery of themed attraction experiences while implementing systems and controls to improve documentation accuracy and timeliness. The position also collaborates with planners and coordinators to establish the approval process for job plan creation, including MAXIMO integration to support operational readiness and long-term asset management. Ensures that safety and security protocols are in place and operational. Additionally, the role is responsible for developing procedures and reviewing new software programming to enhance the efficiency of the data management control system.
MAJOR RESPONSIBILITIES:
- Supervises documentation processes to ensure they align with established standards and procedures. Contributes to the overall efficiency and accuracy of documentation workflow by utilizing knowledge and understanding of company GPS, Performance Specs, and project contracts.
- Optimizes compliance workflows by developing organizational tools, shareable workspaces, and visual representations of data for improved decision-making. Partners with Global Compliance to standardize project compliance efforts and monitor the accuracy and completeness of all documentation (e.g., drawings, creative, facilities, vendor documentation) in accordance with document control procedures.
- Acts as the primary point of contact for compliance efforts, facilitating collaboration between project stakeholders and departments. Assists the New Ventures team in developing and modifying document control policies and procedures, including managing platforms such as SharePoint and other shared drive sites.
- Manages and monitors compliance action items for the New Ventures project portfolio, ensuring documentation is delivered according to established policies, timelines, and industry standards. Prepares and delivers ongoing reports to maintain visibility for departmental leadership, providing insights into the status of progress across multiple project lifecycles.
- Coordinates document intake, storage, and retrieval with intra-department customers and external resources, including Environmental Health and Safety, Facilities, Finance, Human Resources, Landscape, Water Quality, Operations, Security, Creative, and outside vendors.
ADDITIONAL INFORMATION:
- Strong and effective communicator, both verbally and written, with ability to interface with various departments of the company, as well as outside vendors and contractors. Comfortable presenting for leadership and project partners.
- Possess good organizational, analytical and problem-solving ability.
- Detail oriented with proven ability to orchestrate and execute multiple activities simultaneously in a fast-paced environment using resources effectively and efficiently.
- Represent the company with highest integrity and ethical conduct.
- Proven ability to work independently with little to no direction and maintain a strong focus on business priorities, being persistent in follow-through.
- Performs some travel obligation as necessary to support the new attraction project.
QUALIFICATIONS:
- Expertise in developing and implementing compliance policies, with effective communication to foster organizational compliance awareness.
- Proficient in project management tools (Smartsheet, SharePoint, PMWeb)
- Strong skills in creating organized datasets, ensuring accuracy, and using data visualization tools for insightful reports.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, DocuSign).
- Ability to independently address compliance issues, make informed decisions based on project knowledge, and collaborate effectively with stakeholders at all levels.
EDUCATION:
- Associates degree in Construction Management or project management required. Bachelor’s degree in Project Management or Technical related field is preferred.
EXPERIENCE:
3+ years of relevant experience in a Project Management Role supporting Engineering and/or Construction. 2+ years of relevant experience in a theme park specific technical/engineering role.
