Sr Coordinator, Internal Communications

JOB SUMMARY:

Serves as the primary point of contact for all internal communication client requests and follow up support. Tracks and reports requests to team and provides status reports to clients. Processes Team Universal requests with publishing partners. Crafts content to support Internal Communications projects, including alerts and operational messaging, digital slides and editorial stories. Monitors and responds to incoming Internal Communications messages. Updates and maintains recurring communication content. Provides administrative and operational support to the Internal Communications team, including scheduling digital and physical signage, routing, distributing, placing orders, assisting with photo/video shoots and processing expenses.

MAJOR RESPONSIBILITIES:

  • Receive, track, and facilitate all client requests for internal communication, providing status updates to team and requestors.
  • Prepare and submit requests to publishing partners for Team Universal content using Workfront. Track, gather, and compile regular reports outlining performance metrics. Partner with publishing team for site edits, changes, or additional metrics support.
  • Craft alerts (e.g., logistical notices, operational updates, etc.) and editorial content as directed, in appropriate channel formats (i.e., digital slide, email, intranet post, physical signage, etc.), and route to stakeholders for review and approval.
  • Schedule content for digital and physical signage, ensuring locations are kept up to date, functional, and presentable. Maintain accurate records of signage locations and content. Connect with local display administrators to provide support as needed.
  • Monitor shared Internal Communications email inboxes and feedback forms. Appropriately organize, forward and/or respond to inquiries.
  • Process expenses for the department, including P-card purchases, office supply orders, discretionary work requests, and vendor purchase orders as needed to support communications channels and initiatives.
  • Provide administrative and operational assistance for Internal Communication-led initiatives, including on-location photo and video shoots, event support, and others as identified.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UDX policy, procedures, training, and team member involvement activities.
  • Perform other duties as assigned.

EDUCATION:

  • Bachelor’s degree in Communications, Journalism, Fine Arts, Hospitality, Business or Human Resources preferred.

EXPERIENCE:

  • 2+ years in Communications or Human Resources preferred; or equivalent combination of education and experience.
