JOB SUMMARY:

Supports the overall day-to-day operation for Universal Kids Resorts Operations division including overall support for Attractions, Park Services, Guest Arrivals & Events, Wardrobe & Costuming and Entertainment. Supports the overall operation by assisting with Team Member communication, training, procurement of operating materials/supplies, and the submission/tracking of Purchase Requisitions. Assists with administrative support and partners across departments to ensure operational efficiencies, documentation, communications, and reporting are following Universal standards and procedures.

JOB RESPONSIBILITIES:

  • Assists and supports management in the administrative tasks and responsibilities associated with all departments within Operations, including but not limited to Attractions, Park Services, Guest Arrivals & Events, Wardrobe & Costuming and Entertainment. Supports the Managers in each of the respective departments by coordinating with UDX stakeholders, third-party service providers, and inter-departmental communications.
  • Coordinates, schedules, and receives various work/projects to be completed by internal partners and outside vendors. Communicates expectations, monitors, and follows up on all internal and external work to ensure proper completion, quality, and satisfaction for Universal Kids Resort.
  • Supports and coordinates with Operations management for daily staffing requirements, access, and operational efficiencies including third-party vendors. Ensures entry access and regulatory measures are communicated and followed. Resolves and eases sensitive internal/external situations through collaboration across departments in a timely manner to ensure continuous operation.
  • Creates ordering purchases and service requests in Purchase Manager System. Implements and draws upon purchase orders. Receives services and products, as well as facilitates payment by providing Accounts Payable with necessary documentation. Procures products utilizing assigned company credit card. Ensures item tracking and shipping activities.
  • Analyzes, compiles, updates, and maintains department data on spreadsheets. Completes necessary documentation for supply orders and service requests. Supports operations communications in partnership with Security to ensure a seamless Team Member experience. Provides appropriate documentation and addresses department inquiries and escalations. Routinely audits Operations storage locations to ensure quality and safety standards.
  • Provides clerical support by creating communications, presentations, and corresponding materials while maintaining equipment inventory, onboarding, product assistance, and sourcing requests. Supports Operations leadership in maintaining all regulatory training tracking, procedural manuals, Environmental, Health & Safety training and compliance efforts, and updating standard operating procedures and documentation.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UDX policy, procedures, training, and team member involvement activities.
  • Perform other duties as assigned.

  • Strong verbal and written communication skills.
  • Must be able to identify and resolve problems in a timely manner.

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
  • Ability to deal with problems involving several concrete variables in standardized situations.

EDUCATION:

  • High School Diploma or GED required.

EXPERIENCE:

  • 2+ years of experience in an Office or Administrative environment is required; or equivalent combination of education and experience.
