JOB SUMMARY:
Responsible for developing scopes of work and technical documents, preparing service bulletins and bid packages, coordinating vendor scheduling and access requirements, tracking deliverables, and supporting cross functional teams to support operational and project needs across Universal Destinations & Experiences (UDX). This role focuses on capital project administration and technical documentation development, review, analysis, accuracy, negotiation support, documentation accuracy, and compliance with UDX policies, local regulations, and industry standards.
MAJOR RESPONSIBILITIES:
- Manage project planning, coordination, and execution activities for third party vendors performing work under master agreements across UDX. Draft, review, analyze, and support negotiation of the technical elements of request for proposals, contracts, amendments, change orders, and technical documents to ensure accuracy and compliance with UDX policies and requirements. Develop scopes of work, bid packages, and resource plans for all GAP-related work. Coordinate with Legal, Sourcing, Finance, and other departments to address contract issues, support dispute resolution, ensure compliance, and uphold contractual obligations.
- Serve as a technical resource for Global Attractions Programs, Engineering, Operations, Creative, Technical Services, Facility, and Legal teams, ensuring contract requirements support operational readiness, technical integration, and project objectives. Track vendor revisions, identify negotiation points, prepare technical documentation, and support resolution of technical or performance-related disputes. Assist in developing and reviewing technical documentation and service bulletins to ensure consistency with UDX operational and technical standards.
- Collaborate with Legal, Sourcing, Finance, and operational teams to support project objectives. Support documentation and processes for field activities, including Notices of Commencement, Letters of Authorization, and contractor access requirements. Maintain awareness of facility constraints, integration considerations, and project-specific requirements to ensure contract deliverables align with the intended scope and operational outcomes.
- Manage and maintain all contract-related documentation, including procurement records, preventative maintenance documentation, regulatory compliance files, and vendor deliverables. Ensure accurate tracking, reporting, and audit-ready documentation for compliance reviews, legal requirements, and internal reporting needs. Support lien compliance, Notices to Owner, and contractor document management for on-site installation activities.
- Train and mentor team members on technical documentation requirements, operational standards, and safety protocols.
- Understands and actively participates in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
- Performs other duties as assigned.
EDUCATION:
Bachelor’s Degree is required
EXPERIENCE:
- 3+ years in technical drafting and project planning/support.
- 3+ years of supervisory experience.
- 5+ years in operations or maintenance of industrial/commercial systems preferred.
- Excellent technical writing skills required; writing samples may be requested.
- Strong understanding of contracting, procurement, and negotiation principles.
- Ability to manage multiple priorities and deadlines.
- Proficient in Microsoft Office Suite and contract management systems.
