The Office of Development and Alumni Relations (DAR) engages donors, alumni, friends, parents, faculty, staff and students in a lifelong relationship with the University of Delaware. Role Description:

The position supports a dynamic office environment that houses the DAR Services, Alumni Engagement, University Events, and Annual Giving & Marketing teams. Students will gain valuable experience in customer service, office administration, professional communication, and event support while working alongside a variety of university professionals.

The ideal candidate enjoys interacting with a diverse group of people and is comfortable working in a fast-paced office environment. They demonstrate initiative, a willingness to learn, and the ability to work both independently and collaboratively. Strong organizational, problem-solving, and time-management skills are essential, along with the ability to effectively manage multiple responsibilities. Successful candidates will represent the University and the Division of Development and Alumni Relations in a professional, courteous, and positive manner.

This role is responsible for maintaining reliable front desk operations, assisting visitors and guests, facilitating secure building access, and providing routine administrative support to ensure the smooth operation of the office. This position is not benefits eligible. Compensation is commensurate with experience.

Primary Responsibilities:

  • Monitor the front desk and provide reception coverage during assigned shifts.
  • Assist visitors with building access by monitoring the entrance and granting access through the building's secure entry system.
  • Welcome visitors and provide a positive first impression of the Division of Development and Alumni Relations.
  • Notify staff of visitor arrivals and direct guests to the appropriate office or meeting location.
  • Receive and distribute mail, packages, and deliveries.
  • Maintain the reception area and common spaces to ensure a professional and welcoming environment.
  • Assist with filing, scanning, copying, data entry, and other administrative tasks.
  • Support the DAR Services, Alumni Engagement, University Events, and Annual Giving & Marketing teams with special projects as needed.
  • Help maintain office inventory and organize shared spaces.
  • Additional responsibilities could be assigned based on situational and workload requirements.

Qualifications:  

  • Eligible for Federal Work Study.
  • Previous customer service, reception, or office experience is preferred but not required.
  • Excellent written, organizational, and oral communication skills required with the ability to manage and prioritize multiple assignments simultaneously with attention to detail.
  • Friendly, professional, and service-oriented attitude. The ability to communicate and interact well with a diverse constituency, and maintain a positive and collaborative work environment.
  • Basic proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
  • Dependable, punctual, and able to work independently with moderate supervision.
  • Ability to handle sensitive material and information confidentially.

Eligibility for Graduate Student Employment

Applicants must be enrolled in a graduate program at the University of Delaware and be in good academic standing. To be considered for additional on-campus employment, applicants combined on-campus employment, including teaching, research and graduate assistantship, must not exceed 29.5 hours per week.

Graduate students on contract may hold additional employment, on campus or off, up to 29.5 hours per week total without approval by the student’s program, the student advisor or the Graduate College. However, graduate students on contract are encouraged to discuss additional employment with their advisors to avoid any situations that might hinder timely progress toward the degree.
