Salary

Classification Range $16.00 - $24.00 per hour 

Anticipated hiring range, depending on qualifications, not to exceed $17.00 per hour

Department Contracts & Procurement 
Work Schedule TBD; up to 20 hours per week during the academic year.
Job Summary The Contracts & Procurement office seeks a student assistant to provide administrative support for various operational functions within the department:
1. Office & Clerical: Provide front desk support (reception, phones, scheduling), distribute incoming mail, office supply inventory, maintain office supply needs list, organize supplies, maintain Xerox machines; conduct mail delivery, copying, and additional support to all office staff as needed. Assist in processing incoming paper and electronic documents.
2. Contracts & Procurement function: Assist with emailing Purchase Orders and the collection of documentation from department requestors and vendors. Manages Dropbox files of documentation.
3. eBusiness function: Assist with daily audit of expense reports, reconciliation and submission of missing items in accordance with State statutes and CSU policies. Works with campus travel and expense management system (Concur) and assists with the data entry of information in Access Database and Excel.
4. Facilities Use function: Assist with reconciling event and contract files, tracking payment of related fees, and data entry of reservation details. Support responding to campus partners and potential clients with their inquiries on reserving campus rental spaces. Assist with the organization of event reservation materials for campus department review.
5. Asset Management function: Assists with the administrative support and coordination for the Property Control/Asset Management function. Supports the inventory process of tagging, reconciling and reporting of university equipment and assets.
6. Other duties: Performs other administrative duties or special projects as assigned to support the office operations.
Minimum Qualifications

Ability to learn and perform assigned work; follow oral instructions; work cooperatively with faculty, staff, and other students; communicate effectively with all levels; and read and write English at a level appropriate to the position.

  • Must maintain a high level of confidentiality
  • Self-starter and highly motivated to learn
  • Detail-oriented, organized, and able to coordinate multiple projects
  • Proficient in Microsoft Office and Adobe applications
Required Qualifications
  • Current student at CSUF and is enrolled/registered (fees paid) in a current regular semester as a new or continuing student.
  • Student who has completed the prior semester (has not graduated), or who is registered for the subsequent semester.
  • In good academic standing (not on academic probation, continued probation, academic dismissal).
  • Student who is authorized to work in the United States and can provide employment eligibility documents.
Preferred Qualifications
  • Prior experience working in a professional environment
  • Business/Accounting background

Jeanne Clery Disclosure of Campus Security Policy and Crime Statistics Act Notification:
Pursuant to the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act, the current Annual Security Report (ASR) is available for viewing at: https://hr.fullerton.edu/risk-management/clery-act/. This report contains the current security and safety-related policy statements, emergency preparedness and evacuation information, crime prevention and sexual assault prevention information, and drug and alcohol prevention programming. The ASR also contains statistics of Clery Act crimes for California State University, Fullerton for the last three (3) calendar years. Paper copies are available upon request at the CSUF Police Department.

 

Notice of Availability of the Annual Fire Safety Report (AFSR)
In addition, pursuant to the Higher Education Opportunity Act, the AFSR is also available at https://hr.fullerton.edu/risk-management/clery-act/. The purpose of this report is to disclose statistics for fires that occurred within California State University, Fullerton housing facilities for the last three (3) calendar years, and to distribute fire safety policies and procedures intended to promote safety on campus. A paper copy of the AFSR is available upon request by contacting the Housing Office located at The Housing & Residential Engagement Main Office.
