Position Summary:

The Administrative Coordinator and Summer Program Manager supports the Deans and Academic Administrators in administration of the day-to-day operations and implementation of long-term goals of Yeshiva College and Stern College for Women. The position also manages the summer program of course offerings for Yeshiva College, Stern College, and Sy Syms School of Business.

Position Responsibilities:
|
Administrative Coordinator Duties:
- Assist the Academic Administrators with the day-to-day activities of running the college. This includes, among other responsibilities, keeping track of and purchasing supplies through university procurement systems, processing travel and other reimbursements for faculty and administrators, serving as point of contact for all facilities-related and ITS-related requests, serving as point of contact for day-to-day faculty inquiries and requests, overseeing the printing system and other basic systems, and moderating email listserv messages.
- Assist with onboarding, HR processes, and payments to faculty for the summer program and throughout the year as assigned.
- Assist the Academic Administrators to plan and execute new student orientation, end-of-year awards ceremony, commencement activities, final exam scheduling and administration, and other events as assigned.
- Oversee office communications pertaining to placement exams.
- Support the Academic Administrators in overseeing each semester’s teaching evaluation process.
- Support the Pre-Health and Honors Directors with the operations of their programs.
- Maintain student progress records, coordinate pre-health dossier submission materials, and communicate with students regarding deadlines and event notifications.
- Coordinate with the Stern College Dean’s Office on administrative policies and procedures and run reports as needed for both offices.
- Assist the Dean, Associate Dean, Department Chairs, and Academic Administrators as needed with coordinating materials for all tenure, promotion, retention, and post-tenure review processes.
- Manage office workflow, incoming and outgoing mail, and other communications in a timely and professional manner.
- Take minutes at meetings as requested.
- Create flyers and postings and maintain social media accounts for Yeshiva College and Stern College.
- Assist the Dean and other administrators with scheduling meetings, booking rooms, making travel and hotel arrangements for visitors, setting up vendors/speakers in the payment system, placing orders, managing purchase orders, invoices, and other payment processes.
- Reconcile P-card charges.
- Maintain and update the college website as needed.
- Greet students and other visitors, ensuring a welcoming, service-oriented environment in the dean’s office.
- Maintain a thorough knowledge of school policies and procedures.
- Other duties as assigned.
Summer Program Manager Duties:
- Manage the summer program for Yeshiva College, Stern College, and Sy Syms School of Business, including:
- Prepare and submit an academic calendar for Summer Session.
- Schedule courses after including liaising with department chairs, deans, and other stakeholders.
- Communicate with faculty, students, and prospective non-matriculated students.
- Manage onboarding, HR processes, and payments to Summer Session faculty.
- Liaise with internal partners such as Registrar, Student Finance, MarComm, Deans' Offices, Finance, Advisors, and instructional designers.
- Manage Summer Session website.
- Organize and maintain student policies.
- Manage employees involved in Summer Session in collaboration with department chairs and deans.

Experience & Educational Background:
|
- Bachelor’s degree required.
- 3–5 years of administrative experience in higher education or a related field.

Skills & Competencies:
|
- Proficiency with the Microsoft Office suite and other computer. programs; ability and willingness to learn new programs as needed.
- Strong, professional, and empathetic written and oral communication skills.
- Organized, self-motivated, and collaborative.

Salary Range:
|
$70,000 – $80,000
