About the role
In this role, the Executive Support Officer provides administrative support to the CEO’s Office, the Manager of Council & Executive Services, and the Council & Executive Services department to support the delivery of departmental objectives.

Key responsibilities include:

  • Provide administrative support to the CEO’s office and assist with department meetings, events, and correspondence management.
  • Organise and coordinate the Executive Leadership Team weekly forum, including scheduling, agenda creation, and presentation distribution.
  • Assist with purchase orders, receipts, and ad-hoc assignments such as preparing proposals and presentations.
  • Coordinate Councillor portfolio meetings and advisory committees, and conduct secretariate duties for department policies.
  • Maintain professional relationships with internal and external stakeholders, and support innovation and best practices for customer and community satisfaction.
  • Contribute to a positive team culture, support training and development, and collaborate on process improvements and business plan execution.

About you
Success in this position requires previous experience as an Executive Assistant and experience working with councillors.

Essential Experience:

  • Excellent communication and stakeholder management skills, with the ability to collaborate effectively and influence outcomes.
  • Strong attention to detail and critical thinking skills for problem solving and analytical tasks.
  • Outstanding planning, organisational, and resource management abilities.
  • Proven capacity to work independently or in a team, proactively supporting stakeholder needs and quality outcomes.
  • High proficiency in desktop applications, business systems, and understanding of broader business context.
