Job Description

The Bradley Department of Electrical and Computer Engineering (ECE) Executive Assistant will provide executive level support for the ECE MEng Graduate Director, MEng Graduate Program Coordinator, and ECE faculty located in the Greater Washington, DC, Metro Area. Primary responsibilities of the Executive Assistant include administrative management of the center and overall coordination of daily activities as the ECE liaison between the faculty/staff and the Virginia Tech Research Center-Arlington (VTRC-A) building stakeholders to establish an administrative presence for ECE in the Arlington research center and future Innovation Campus location in Alexandria, Virginia. The position duties include being a point of contact for students, managing the VTRC-A office operations (furniture as well as workstation and laboratory designations). In addition, the ideal candidate will also be the primary liaison for communications with academic units, Virginia Tech and ECE administration, faculty, staff, students, and external constituents. Furthermore, the Executive Assistant will be responsible to maintain up-to-date documentation for the ECE programs including personnel, onboarding processes and supporting documentation. Duties will also encompass generating products/outcomes for different activities, event planning and coordination including ECE alumni, and support of recruitment efforts as part of their role to support the ECE Graduate Program Coordinator. The Executive Assistant is also expected to have daily interactions with VTRC-A's ECE faculty, graduate students, other Virginia Tech and ECE administrators, event service providers, and visiting scholars as the primary program contact. Other responsibilities include coordinating with the Director of ECE Undergraduate Program on course offerings produced in Northern Virginia and assisting with interactions with Virginia community colleges as the external facing contact.

Required Qualifications

Bachelor's degree or equivalent related training and/or experience. Experience providing program and/or administrative support in an academic or professional office environment. Prior experience and skills with office software such as Word, Excel, PowerPoint, Outlook, and Acrobat. Demonstrated professionalism in working with confidential and sensitive matters with the utmost discretion and tact. Strong organizational skills with experience in maintaining workflows and up-to-date documentation. Demonstrative ability to communicate effectively with a diverse group of people including administrators, faculty, staff, students, and external constituents. Demonstrated experience with and commitment to diversity.

Preferred Qualifications

Experience working in a higher education environment. Experience with admissions and recruitment efforts. Experience working with graduate students, processes, and records management. Knowledge of university policies and procedures related to travel, payroll, procurement, FERPA, and human resources. Proficiency with institutional software such as Banner, HokieMart, HokieSpa, Chrome River, and TimeClock Plus.
