Job Description

The Executive Assistant provides specialized and complex administrative support to the Associate Vice President for Principal Gifts including managing the AVP’s calendar, assisting in preparation of reports, presentations, and correspondence, maintaining and updating systems and databases, managing special projects, providing fundraiser support, and facilitating effective interaction within and outside of the university.

The AVP relies on the Executive Assistant to be proactive and set up effective and efficient processes to allow the AVP to focus time and effort strategically to achieve key division goals. They provide critical support through research, analysis, writing, information coordination, relationship management, and project coordination. They will communicate regularly with equivalent and/or higher-level people within the university and externally. They will work on projects from conception to completion and must be able to handle a wide variety of activities, including confidential and sensitive matters, with the utmost discretion.

The Executive Assistant is a valuable member of the Principal Gifts team, and will support members of the Principal Gifts team and initiatives, as guided by the AVP and the Associate Director of Operations. They are responsible for leading and managing a number of office processes. They are a trusted professional who is aligned with the AVP and Advancement leadership, using sound judgement to make reasonable decisions in the absence of direction. The ideal candidate must be professional and demonstrate emotional intelligence through strong interpersonal skills, ability to influence key stakeholders, and adaptability. In addition, the candidate must be organized, self-directed, and be an effective communicator and collaborator.

Required Qualifications

Demonstrated high-level administrative experience supporting executive-level individuals within a fast-paced, self-directed, and demanding environment.

Demonstrated exceptional planning and organizational skills.

Proven ability to cultivate positive working relationships and gain the trust and respect of all levels of internal and external constituencies.

Demonstrated ability to perform duties with a high-level of professionalism, flexibility, discretion, judgment, diplomacy, and tact.

Demonstrated advanced computer skills and proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.

Proven experience working with SharePoint or a similar document-sharing system.

Experience coordinating domestic travel arrangements, preparing travel itineraries, and completing travel reimbursements.

Preferred Qualifications

Bachelor’s degree in Business Administration, Communications, or related field, or a combination of education and experience.

Prior experience working in a higher education environment.

Demonstrated proficiency with Outlook.

Demonstrated proficiency with analyzing and summarizing information using Excel.

Demonstrated experience in supporting project with multiple priorities, deadlines, and constituents.

Demonstrated proficiency with Blackbaud CRM and/or other relational database.

Prior experience working in a team-oriented environment.

Proven writing and editing skills.
