The Administrative and Project Support Specialist provides high-level administrative and operational support to the Department Head of Mining & Minerals Engineering and Materials Science & Engineering. This role ensures efficient coordination across both departments while maintaining a clear boundary between departmental operations. The individual manages scheduling, correspondence, document organization, budget monitoring, hiring support, procurement assistance, and minor project coordination related to federally funded research. The position requires strong organizational skills, attention to detail, and the ability to handle multiple priorities while maintaining confidentiality and professionalism.
• Experience providing administrative support in a professional or academic setting.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Strong organizational and time management skills, with the ability to manage multiple tasks and deadlines.
• Ability to work independently while maintaining close communication with the Department Head.
• Excellent written and verbal communication skills.
• Experience coordinating meetings, scheduling, and event planning.
• Familiarity with budget tracking and procurement processes.
• Experience assisting with budget monitoring and financial projections.
• Experience drafting position descriptions and supporting hiring processes.
• Experience supporting research-related administrative functions.
• Familiarity with university policies and procedures.
• Bachelors degree or equivalent professional experience.
• PMP (Project Management Professional) certification is preferred but not required.
Non-Exempt: Eligible for overtime
Commensurate with experience, up to budget maximum
The successful candidate will be required to have a criminal conviction check.
