| Job Summary: |
Responsible for contractor and consultant payment reimbursement entry which includes: reviewing, recording, and reconciling vendor invoices using the state’s automated accounting systems. This position will analyze purchase orders to determine if contracted items are being purchased off contract. Responsible for correspondence to staff and internal/external customers to address payment/invoice issues and corrections. Also backs up general accounts payable (AP) invoice entry and indexing.
This position may be available for remote work within Arizona (Two (2) days per week in the office/hoteling).

| Job Duties: |
Processes contractor and consultant payment reimbursement entry which includes: reviewing, recording, and reconciling vendor invoices using the state’s automated accounting systems. Analyzes purchase orders to determine if contracted items are being purchased off contract and notifies procurement of any issues.
Serves as a backup in processing general AP invoice entry, utility invoice entry and indexing of invoices.
Contacts internal customers explaining corrections or additional work needing to be addressed to complete the payment process and will also submit expenditure corrections as needed.
| Knowledge, Skills & Abilities (KSAs): |
Knowledge of:
• Automated accounting systems to process vendor payments.
• Accounting and math to ensure accuracy of payment coding and calculate monies on purchase orders to ensure that invoices will be processed for payment.
• Working knowledge of Microsoft Office and Google Suites to prepare spreadsheets, correspondence to staff and internal/external customers, and modify and run reports using SQL inquiries.
• Processing invoices that do not match the purchase order exactly and generate manual payment documents.
Skill in:
• Analytical skills to interpret financial data to research and correct errors.
• Oral and written communication skills to effectively communicate with staff and internal/external customers.
Ability to:
• Work with others.
• Professionally communicate with others.
• Understand and anticipate constituent and stakeholder concerns.
• Make sure job responsibilities are completed in a timely manner.

| Selective Preference(s): |
Two or more years of responsible records management.
Accounts Payable or similar accounting experience is a plus.
Training in Continuous Improvement (Lean) or Six Sigma is preferred.
Considerable understanding of automated accounting systems, spreadsheet applications.

This position requires driving or the use of a vehicle as an essential function of the job, and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
