Job Summary:

The Voter Registration Coordinator provides essential administrative, communication, and operational support to the AVID team, the Deputy Assistant Secretary of State, and the AZ A250 Executive Director. This role is central to ensuring smooth coordination between the Secretary of State’s Office and county election officials, particularly in the area of Voter Registration.

Job Duties:

Scheduling and Communications with Counties regarding Voter Registration – Communicate with counties about meetings and any issues or events that come up in Voter Registration including keeping contacts current, sending meeting invites and any notes, presentations or attachments, and post advisories to users on AVID Dashboards.

Registration database for Voter Registration, UOCAVA requests or Cancellations and other requests that come in by mail, fax or through email boxes, and forwards the information to the appropriate county.

Voter Registration Statistics Gathering, Proofing and Publishing –Work with the counties, other Voter Registration staff and other stakeholders to gather the statistics needed to create reports and support projects, including quarterly voter registration statistics, other statutorily required statistics, Process Papers negotiated with County Recorders and the EAC’s EAVS statistics Report. Work with other AVID staff to proof the data before posting to the website.

Processing Travel & Expenses – Process the travel expenses for the, Deputy Asst. SOS, and AZ A250 Executive Director.

Back up Support - Provides back-up support to AVID team members, and other SOS staff for in-person responsibilities such as general office coverage, administrative tasks (such as making photocopies and prepping materials for meetings); monitoring lobby for guest needs, deliveries or requests from other agencies or the public, etc.

Assistance with other special projects as assigned, especially related to A250 and projects the Deputy Asst SOS is working on (e.g. event/meeting planning, etc.)

Other duties as assigned as related to the position (typically 5% - 10%)

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
- Applicable program rules, regulations, policies and procedures, systems, and relevant statutes
- Principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- The structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
- Administrative and clerical procedures and systems such as word processing, managing files and records, transcription, designing forms, and other office procedures and terminology.

Skill in:
- Active Listening, giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
- Speaking, talking to others to convey information effectively.
