Job Summary

The Workforce Solutions Administrative Assistant provides administrative, financial, and operational support for workforce training programs at West Kentucky Community & Technical College, assisting with budget tracking, billing, purchasing, course creation, enrollment, student registration, and program documentation. This position works closely with the Workforce Solutions Program Coordinator to ensure efficient, compliant program delivery that meets regional industry needs.

Job Duties:

• Budget tracking, reconciliation, and financial recordkeeping
• Billing preparation and reimbursement documentation
• Purchasing and procurement support
• Course creation and setup within college or learning management systems
• Enrollment and student registration processing
• Program and participant recordkeeping in compliance with grant requirements
• Scheduling, correspondence, and general office administration
• Proficiency in Microsoft Office (Word, Excel, Outlook)
• Strong attention to detail and organizational skills
• Clear written and verbal communication
• Ability to manage multiple tasks and deadlines in a fast-paced environment
• Familiarity with grant-funded program requirements and compliance documentation

Minimum Qualifications:

Associate degree in business administration, accounting, workforce development, or a related field; or equivalent work experience

One to three years of experience in administrative support, financial tracking, program coordination, or a related role
