As a key member of the leadership team, you will bring initiative, strong forward-planning capability, and exceptional organisational skills to keep the Executive General Manager one step ahead. With strong emotional intelligence and sound judgement, you will navigate sensitive situations, anticipate needs, and ensure seamless day-to-day operations.

You will provide high-level executive support, coordinate events and leadership meetings, and oversee office management for our Milton, QLD office. Your ability to “read the room”, solve problems proactively and manage competing priorities will directly contribute to the effectiveness of the EGM and leadership team.

Your day will involve:

Executive Support

  • Manage complex calendars, deadlines, and scheduling
  • Coordinate travel and accommodation
  • Provide proactive administrative support to ensure operational efficiency

Communication Management

  • Act as a key liaison for internal and external stakeholders
  • Screen, prioritise, and manage calls, emails, and correspondence

Meeting & Event Coordination

  • Prepare agendas and meeting materials
  • Arrange logistics for leadership meetings and events
  • Attend meetings to take minutes and follow up on actions

Documentation & Reporting

  • Prepare high-quality PowerPoint presentations and monthly reports
  • Manage contracts, files, and critical documents to ensure accuracy and accessibility
  • Track project timelines, deliverables, and progress and work with leadership to support key initiatives 

Office Management

  • Oversee day-to-day office operations
  • Coordinate contractors, suppliers, and facilities needs

What are we looking for?

  • Proven experience supporting executives and senior leaders, ideally within heavy industry or similar environments
  • Exceptional communication, relationship building and influencing skills
  • Outstanding organisational ability and the capacity to manage competing priorities
  • Advanced Microsoft Word, PowerPoint and Excel skills
  • High levels of discretion, confidentiality, professionalism and resilience
