The Student Employment Specialist oversees the onboarding of over 500 student employees annually, ensuring compliance with institutional, state, and federal regulations. Key responsibilities include managing employment documentation, maintaining accurate records in the University’s HRIS (PeopleSoft), addressing inquiries from students and supervisors, and troubleshooting HRIS-related issues in partnership with Human Resources and Payroll.

This role also provides programmatic support to the Jumpstart Program by assisting with training, hiring, event coordination, and administrative support to the Student Employment Team. Additionally, the Student Employment Specialist supervises student employees, fostering their development and ensuring efficient daily operations within the Office of Student Employment.

Duties

  • Management of the onboarding process for over 500 student employees annually by collaborating with hiring departments, overseeing the completion of Form I-9s and background checks and ensuring all required paperwork is completed promptly while maintaining compliance with institutional and federal regulations. 
  • Maintain and update student employment records in the University's HRIS (PeopleSoft), including job positions, user access, and confidential student data, ensuring accuracy, integrity, and compliance with federal, state, and institutional regulations. Collaborate closely with Human Resources and Payroll teams to uphold data integrity. 
  • Manage the day-to-day administrative operations of the Office of Student Employment, including handling phone, email, and appointment requests. Act as the primary point of contact for students and supervisors, responding to inquiries regarding employment opportunities, policies, and procedures.
  • Offer continuous programmatic assistance to Jumpstart Site Managers, aiding in student training, hiring, credit card management, event coordination, assessments & data entry, and community impact initiatives as directed by the Site Managers. 
  • Troubleshoot HRIS-related issues, providing technical support and resolving user inquiries for Student Employment staff and other departments. 
  • Oversee student employees, including recruiting, hiring, training, and providing continuous support for their development throughout their employment. 
  • Perform other duties as assigned.

Skills and Qualifications

Required:

  • Bachelor’s degree or equivalent relevant experience.
  • Two years of experience in administrative operations, student employment, human resources, or a related field.
  • Strong computer skills, including proficiency with Google Suite and Microsoft Excel
  • Strong organizational and communication skills, with the ability to manage multiple tasks effectively.
  • Administrative Operations Skills: Knowledge of office management practices, workflow organization, and managing multiple tasks efficiently.
  • Human Resources Skills: Knowledge of basic HR practices, including onboarding, compliance, and employee documentation requirements.
  • Customer Service Skills: Understanding of how to address student and staff inquiries in a professional and timely manner.
  • Familiarity with Google Suite (Docs, Sheets, Drive) and Microsoft Excel, including the ability to create spreadsheets, manage data, and analyze information.

Preferred:

  • Experience working with HRIS systems, preferably PeopleSoft.
  • Experience with data analysis and reporting.
  • Ability to work collaboratively with cross-functional teams, including IT, HR, and Payroll departments.
  • Familiarity with employment regulations, such as FLSA, FERPA, and student work-study guidelines.
  • Data Management Skills: Familiarity with maintaining accurate records, particularly in HRIS (Human Resources Information Systems) or similar systems.
  • Awareness of institutional, state, and federal employment regulations, including background checks, Form I-9s, and other relevant documentation.
  • Understanding of student employment regulations, policies, and best practices, especially in higher education settings. H
  • Familiarity with PeopleSoft or similar HRIS platforms for maintaining and updating employee records, tracking compliance, and processing employee data.

This is a Regular, Nonexempt, 40 hour per week position.

Expected Pay Range: $25.00 - $26.92 per hour 

The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level. In addition to base pay, Pepperdine offers a robust and highly competitive benefits package.
