About the role

We are looking for a proactive and detail-oriented Legal Operations Team Assistant to join our Personal Injuries team in Brisbane. In this role, you will provide comprehensive administrative support to the Legal Operations Manager and Senior Leadership Team to ensure that day-to-day responsibilities are dealt with efficiently. Key responsibilities

  • Task Management: Develop and follow up on task lists to ensure deadlines are met.
  • Meeting Coordination: Plan agendas, prepare presentations, and keep records of decisions and follow-up actions.
  • Financial Administration: reconciliation of credit card statements and expenses, perform budget management tasks such as development of target tracking documents and reporting frameworks
  • Travel Arrangements: Coordinate travel and accommodation logistics.
  • Communication: Monitor the Legal Operations Team inbox and handle enquiries.
  • Stakeholder Relations: Build and maintain relationships with internal and external stakeholders.
  • Information Management: Maintain up-to-date contact lists and guides.
  • Event coordination: provide event support such as venue research, event registration, catering and onsite support  

The experience we are looking for

  • Previous experience in a corporate environment as a team assistant, or similar role
  • Previous experience in a law firm is preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook).
  • Personable with the ability to build rapport with stakeholders at all levels.
  • Strong problem-solving and decision-making capabilities.
  • Well-developed communication skills (written, oral, and interpersonal) for liaising with internal and external stakeholders.
  • Ability to work autonomously as well as part of a team.
  • Outstanding customer service attributes, including a professional image, customer focus and active listening
  • Excellent organisational and time management skills, with the ability to multitask and work independently to plan, coordinate, and organise projects
