JOB SUMMARY:

Provide assistance and support to Costuming Supervisors and Stage Managers for special events/marquee projects, including coordination of event documentation, event operations, and event staff and talent. Position includes day-to-day administrative and operational tasks. They will have knowledge of the entertainment venues areas, and talent, as well as, the ability to address concerns and properly disseminate information to the appropriate team member(s).

MAJOR RESPONSIBILITIES:

Administrative

  • Assist Supervisor/Stage Manager in event documentation, purchasing, staff requests, legal requests, revisions, confirmations, and creation of timelines and budget tracking sheets
  • Coordinate communication of pertinent event information with other departments, including but not limited to Marketing, Publicity, Park Management, technicians, vendors, and outside companies

Event Operations

  • Coordination of event specifics. IE: Prepping costumes, props, labeling
  • Resolve and/or communicate event issues/status to management. Coordinate communication with internal/external clients during events. Ability to effectively reason and communicate in a fast paced environment.
  • Acts as a main contact for entertainment venues & performers during events while relaying information to resolve any issues that arise.
  • Monitor event logistics in order to ensure that all costuming elements are in compliance with the rules and regulations set forth by either performer’s SOP’s or vendor’s contracts, and are set as requested by the client.
  • Periodic responsibility for unsupervised small events (RBC, photo shoot, LCM’s) including trouble shooting and problem solving.
  • Understands and actively participates in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
  • Performs other duties as assigned.

SCOPE:

The Coordinator’s job responsibilities may include, but not limited to:

  • Presetting, Maintaining, and tracking event needs.
  • Maintaining and adhering to event budgets
  • Contacting vendors on updates and deliveries
  • Contacting fabric and buyout vendors for availability and pricing
  • Maintain and organize project images
  • Creating and maintaining project/events spreadsheets
  • Maintain and organize fabrics and findings library
  • Assist in developing and presenting wardrobe presentations

EDUCATION:

  • High school degree or GED required.
  • Associate’s degree (AA) is preferred.
  • Bachelor’s degree from a four year college or university in related field preferred.

EXPERIENCE:

  • 1-3 years’ experience within the professional Entertainment or theme park industry required;
  • One to three years’ experience in hospitality and/or event planning preferred;
  • or equivalent combination of education and experience.
