About the Position: 

The Office of the Registrar serves students and the campus community by providing quality services that facilitate enrollment, retention, and degree completion while maintaining accurate academic records for the University. We are also responsible for processing transfer credit and maintaining articulation agreements with other institutions. Additionally, we register new and continuing students for classes, maintain academic records, prepare transcripts and diplomas, and review petitions for exception to University policy. We seek an exceptional individual to join our team as the Assistant Registrar - Evaluation (Student Services Professional IV). The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

As part of a team of Transfer and Graduation Advisors, will maintain the critical advising tools that are essential to faculty and professional advisors in guiding students to graduation. This is accomplished through main responsibilities, including but not limited to: determining eligibility to the university, working with transfer students on eligibility and working with community colleges to assist with the transfer process; evaluating all work for graduation and assisting students with the graduation process; preparation and programming of the Titan Degree Audit Reporting System; final academic review and posting of graduation. Provide related information and advice to students, faculty, staff, and the public. Cross-area work with admissions, IT, titan degree audit, records and registration and additional areas is required. This level is further characterized by assignments requiring the application of a high degree of judgment, or persuasiveness, imagination and professional skills and knowledge in a specified program or service area, as well as a general understanding of the interrelationships and the need for coordinated action within the total Student Services program. This level requires considerable administrative planning to develop creative solutions which integrate approaches across organizational lines. At this level, there is also the responsibility for recognizing specific program needs and for developing approaches for possible implementation to meet these needs.

• Operations and Policy - Plans, directs, and evaluates procedures, systems, and resources needed to support transfer and graduation evaluation operations.

• Data Analysis and Systems/Process Recommendation - Provide project management in support of Transfer Credits, Graduation, Degree Audit, and Degree Planner systems by directly overseeing normal business, implementations (be it policy, technical, and/or 3rd party), and upgrades from inception through maintenance.

• Communication - In collaboration with the University Registrar and Office of the Registrar leadership team, develops and maintains messaging and a communication plan for Student Records communications including but not limited to Transfer and Graduation Evaluation functions that affect internal and external stakeholders and customers.

• Personnel Accountability - Handles all appropriate personnel matters for the unit. Provides probationary and annual performance evaluations for the unit.

Essential Qualifications

Bachelor’s degree or the equivalent from an accredited four-year college or university in a related field plus upper division or graduate course work in counseling techniques, interviewing, and conflict resolution. Four years of professional student services work experience including experience advising students individually and in groups, as well as the analysis and resolution of complex student services problems. A Master’s degree from an accredited college or university in counseling, clinical psychology, social work or a job-related field may be substituted for one year of professional experience. A Doctoral degree from an accredited college or university and the appropriate internship or clinical training in a relevant field may be substituted for two years of professional experience.

General knowledge of the problems and methods of public administration, including organizational, personnel, and fiscal management. Knowledge of advanced statistical and research methods. Ability to plan, develop, coordinate, supervise, and organize programs and activities. Ability to interact with a diverse student population, faculty, staff, and the public. Ability to analyze complex situations accurately and adopt effective courses of action. Ability to advise students individually and in groups on complex student-related matters. Ability to complete assignments without detailed instructions. Ability to establish and maintain cooperative working relationships with a variety of individuals.  Excellent verbal and written communication skills, as well as the ability to acquire knowledge of campus procedures, activities and of the overall organization.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.  

Preferred Qualifications

Thorough knowledge of the following software/platforms but not restricted to: ASSIST, PeopleSoft Campus Solutions student information system, uAchieve degree audit system, Hyland OnBase and TES (College Source). Proficiency in working with degree audit systems. Comprehensive knowledge of California State University (CSU) transfer patterns and policies. Three to five years’ experience in the evaluation of academic records, course articulations, and academic advising.

License/Certifications

A Valid California Driver’s License.
