Position Summary: Work under the guidance of the supervisor to manage the activities of the appropriate resource Center at Johnson County Community College (JCCC) to ensure a friendly, productive, and safe learning environment for students. Maintain the smooth operations of the center, managing immediate and long-term situations; create data reports as requested; and assist with training new administrative assistants.

  • Senior-level support role.
  • Completes assignments with little supervision.
  • May assist less-experienced team members.
  • Requires a High School Diploma and 1+ years of related experience.

Position Details: Job duties include but are not limited to:

  • Serve as the first point of contact in the center, greeting and assisting a diverse range of students, staff, faculty, and visitors.
  • Answer queries in person, via email, and via phone.
  • Check students in and out of the online system and connect them to their tutor or appropriate resource in a timely manner.
  • Remain informed about the ARC and campus services to be able to appropriately direct students to resources that contribute to their success.
  • Respond effectively in a crisis and notify the appropriate campus personnel in a crisis situation.
  • Educate students on how to independently access resources on campus.
  • Maintain student and Center records in the appropriate online system and in writing as necessary finding and fixing errors in our student log-in system. Maintain confidentiality of student records by following Family Educational Rights and Privacy Act (FERPA) guidelines, update software systems with relevant center information when necessary and communicate changes/updates to staff.
  • Manage the daily activities of the center by opening and closing the center (as appropriate for scheduled shifts).
  • Manage online and in-person appointments, drop-in students, and additional student requests.
  • Manage room reservations; maintain communication with the Director and other staff to assist students in accessing tutoring and resources.
  • Maintain office supplies and the department printer for staff and campus use.
  • Gain proficiency in various campus software systems and develop working knowledge in accessibility technologies such as UbiDuo to ensure successful operation and support.
  • Promote Academic Resource Center services and other campus services, direct students as necessary, and educate students on how to independently access resources on campus.
  • Maintain smooth operations of the Center by checking that staff schedules are entered accurately in the scheduling system, enforcing Center and ARC rules & procedures, identifying issues in rules & procedures, collaborating with colleagues, keeping the desk and Center tidy; Submit Campus Services and technology requests and communicate any issues with the Director.
  • Compile reports as requested, including end of semester data and making suggestions on data collection and reporting processes in collaboration with the Director when necessary.
  • Efficiently manage center resources (books, models, technology, headphones, and other resources) understanding their usage and availability. Direct students to the appropriate resources and correctly check resources in and out. Ensure new resources are added to checkout system, perform regular audits of checked out resources and restock print material as needed.
  • Serve in the role of a Building Emergency Leader in times of crisis and/or weather emergency. Attend relevant campus training and department meetings as requested and/or required. 
  • Attend relevant campus trainings and department meetings as is requested and/or required. Develop training materials for new administrative assistant staff, support new employee training, and provide deskside training to new staff.
