Position Summary: The JCAE Data Specialist is a key operational leader responsible for the management, analysis, and integrity of critical program data for Johnson County Adult Education (JCAE), part of Johnson County Community College (JCCC). This position plays an essential role in ensuring compliance with state reporting requirements, supporting strategic planning, and guiding program improvement through data-driven insights.
This role oversees all aspects of data systems used in adult education, including the statewide database, and collaborates with internal stakeholders and external partners to maintain accurate, timely, and meaningful reporting. The JCAE Data Specialist supervises two part-time staff who support front desk reception and data entry functions, ensuring high standards in customer service and information handling.
This position requires strong analytical thinking, independent judgment, leadership, and advanced data management skills to support the department’s mission and meet the accountability standards of the Kansas Board of Regents (KBOR) and JCCC.
This position is a 40- hour-per-week full-time temporary position at JCCC.
Required Qualifications:
- Associate's degree and 6+ years of progressively responsible experience in data management, analysis, or a related field.
- Demonstrated proficiency in Microsoft Office Suite (Excel, Word, Outlook), including advanced Excel functions.
- Experience working with relational databases and reporting tools; familiarity with our data systems (AESIS, LACES, XenDirect, DRC Portal) or similar education data systems preferred.
- Leadership or supervisory experience, with the ability to train and support team members.
- Strong attention to detail, time management, and problem-solving skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Clear and professional communication skills across written, verbal, and digital platforms.
- Strong organizational and multitasking abilities.
Preferred Qualifications:
- Exceptional analytical skills with the ability to interpret and communicate complex data sets to inform decision-making.
- Skilled in developing and modifying queries, dashboards, and reports tailored to diverse stakeholder needs.

Position Details: Job duties include but are not limited to:
- Maintain and oversee complex data systems to ensure accurate and timely student data management.
- Enter, track, and report on enrollment and outcome data for over 1,800 students annually.
- Ensure compliance with Kansas Board of Regents (KBOR) and JCCC data standards.
- Analyze program and student data to support planning, improvement, and reporting.
- Conduct data-driven evaluations to identify trends and inform program development.
- Prepare data for grant reporting, state compliance, and strategic decision-making.
- Provide data analysis for grant applications, program trends and student needs.
- Design, develop, and deliver customized reports and data queries for internal and external stakeholders.
- Utilize state and college databases and other platforms to create targeted and ad hoc reports.
- Translate data findings into clear, actionable insights for non-technical audiences.
- Ensure data integrity and continuous improvement in data practices across the program.
- Conduct routine data audits and resolve discrepancies.
- Collaborate with staff and partners to enhance accuracy and consistency.
- Supervise, train, and support part-time JCAE staff responsible for front desk reception and data entry.
- Provide guidance, performance feedback, and ensure adherence to data protocols.
- Foster a professional and service-oriented environment for staff and visitors.
- Serve as the primary point of contact for data systems, technical inquiries, and reporting schedules.
- Answer internal and external questions regarding data processes and timelines.
- Maintain up-to-date knowledge of database systems and state reporting requirements.
- Attend KBOR state-wide and JCCC meetings and trainings, as JCAE representative.
- Support program operations, events, and third-party billing through effective data coordination
- Support and participate in JCAE onboarding sessions in August and January.
- Compile and validate data needed for billing and partner reporting.
- Assist with program events such as GED graduation and staff development activities.
- Attend all Extended Leadership meetings, in-services and departmental meetings.
- Contribute to the continuous refinement of program processes, electronic and paper forms and reporting tools.
- Participate in the development and annual review of department procedures, documentation in ordinance with KBOR and JCCC guidance.
- Recommend improvements to forms and processes for greater efficiency and usability.
