Job Summary
|
The OSAT Project Administrator will serve as a central operations lead across RPI Ventures, supporting integrated activities spanning intellectual property (IP), entrepreneurship programming, technology transactions, and early-stage venture support, utilizing strong organizational skills and the ability to manage a broad, dynamic portfolio of programs and tasks. The Project Administrator will work closely with RPI Ventures leadership and staff to ensure efficient execution of events, communications, administrative workflows, and stakeholder engagement.
Duties include:
Plan and execute innovation and entrepreneurship events, including business plan competitions, investor pitch sessions, startup showcases, and IP workshops; Coordinate event logistics including scheduling, venue, catering, setup, registration, and on-site support; and Track participation and outcomes to inform planning and reporting.
Support invention disclosure intake and processing, manage patent filing workflows, and maintain accurate IP records in Inteum; Liaise with inventors, faculty, and external patent counsel to ensure timely submission and communication; and Assist in tracking deadlines, signatures, and document flow related to IP and translational funding programs.
Draft and distribute internal and external communications, including newsletters, announcements, and event materials; Maintain and update the RPI Ventures website and social media in coordination with Institute Communications; and Serve as a point of contact for inquiries from students, faculty, alumni, and partners.
Maintain contact and program records across platforms (e.g., Salesforce, Google Workspace, Inteum, Excel); Generate reports on program metrics, event participation and stakeholder engagement; and Support database integrity and continuous process improvement.
Provide high-level administrative support to the AVP and RPI Ventures team, including travel arrangements, purchasing, reimbursements, and general office coordination; and Assist in the administration of translational funding programs and startup internships.

Minimum Qualifications
|
Must be a current employee at RPI and meet the following criteria:
- Bachelor's Degree in relevant field
- 3 or more years in program administration, event coordination, or project management, or any title providing you with exposure to the duties of the position listed in the job summary
- Relevant combinations of education, training and experience may be considered.
Internal candidates must have been in their current positions for at least 6 months, with a most recent evaluation rating of successful or better.

Preferred Qualifications
|
- Familiarity with intellectual property administration and/or entrepreneurship support
- Professional experience in higher education
|
Minimum Knowledge, Skills, and Abilities
|
- Strong organizational and multitasking skills with a demonstrated ability to manage complex workflows
- Excellent written and verbal communication skills
- Proficiency with CRM systems, spreadsheets, and digital collaboration platforms
- Strong interpersonal skills and the ability to work effectively with a wide range of constituencies
- Ability to work effectively under pressure and meet established goals and objectives
- Ability to develop, plan, and implement short- and long-range goals

Starting Salary/Rate
|
Expected hiring range: $62,000 - $75,000
Pay transparency disclosure: The selected candidate’s salary will be determined based on factors that include the available budget, internal equity, and the final candidate’s qualifications, experience, education and other job-related credentials. This hiring range is provided as Rensselaer’s good faith estimate of the expected hiring range at the time of posting.
