Veterinary Services Support Coordinator

Job description

An opportunity for a three-month secondment has arisen for a full-time or part-time (0.8 FTE, 4 days per week) Veterinary Services Support Coordinator to provide support to the Acting Director of Veterinary Services and other veterinary department leaders.
This exciting opportunity involves a blend of administrative expertise, process coordination, and people-focused support, with Monday availability a must!

About the role:  

The successful candidate will be responsible for: 

  • Working closely to the Acting Director of Veterinary Services and Clinic Coordinator to achieve organisation goals 

  • General administration tasks 

  • Vet Team Rosters & timesheets 

  • Inducting and supporting veterinary students at Primary care as required 

  • Assisting with customer escalations as required 

  • Reviewing of customer complaints as required  

  • Facilities escalations 

  • Coordinating surgery bookings across North Melbourne and Cranbourne shelter medicine departments 

  • Assisting with planning of High-Volume surgery days 

  • Auditing of veterinary processes for NM & CB 

  • Protocol writing and refining  

  • Supporting the other department TLs with administration requests 

  • Working with other operational TLs to improve processes 

  • Ensuring safety protocols and audits are complete 

About you:  

You will bring: 

  • Advanced administration skills 

  • Experience on ShelterMate, Ezy Vet and Emplive (desirable) 

  • Good interpersonal skills 

  • Good problem-solving skills 

  • Experience with customer escalations (desirable)
