DMU is seeking an Administrative Assistant who will provide administrative support to the Associate Dean for Clinical Affairs and the COM Clinical Affairs team. This position requires the ability to multi-task, problem-solve, work with multiple constituents, and work in a team-based environment. Strong organizational skills, attention to detail and strong Excel skills are keys to success in this position.
What you’ll do:
- Provide executive level administrative support to the Associate Dean for Clinical Affairs. This may include helping support other deans in the COM Dean's Office at times. This involves generating routine and complex correspondence, coordinating and staffing meetings, managing calendars and document management related to COM professional events, answering phones, distributing mail, arranging travel and conference registration and maintaining student files.
- Establish uniform office procedures and style practices for working with databases, files and correspondence. Work to revise procedures and devise new materials to improve efficiency of workflow.
- Coordinate and provide a repository for all office records and assessment files, including databases, reports, letters, meeting minutes, budget information and other related material.
- Collect, manage and report on data from various sources. Review records to ensure completeness, accuracy, and timeliness.
- Monitor student progress and adherence to deadlines as specified by the Student Handbook.
- Communicate frequently with students, staff, faculty, clinical sites, along with various medical and educational agencies.
What we are looking for:
- Associates degree or equivalent combination of education and experience. Bachelor’s degree preferred.
- Three years of administrative experience required, preferably in an academic environment.
- Excellent organizational skills, attention to detail, written and verbal communication.
